Duties & Responsibilities

Position Overview:

Implements, coordinates and manages the daily operations of Central Stores (cellar) and Central Sterile (2nd floor) to ensure that the facility is properly and efficiently stocked with all supplies necessary to ensure appropriate patient care; and ensure that medical equipment is appropriately cleaned, disinfected and maintained in good working condition readily available for patients.

Span of Control: 2 Assistant Coordinating Manager, 2 Institutional Aides, 2 Service Aide

Responsibilities:
  • Manages the day-to-day operations of Central Stores.
  • Supervises the issuance of supplies in compliance with authorization and documentation procedures.
  • Analyzes and codes by cost center, or by program the consumption of store room supplies.
  • Maintains store room inventory and reconciles inventory to general ledger controls.
  • Matches invoices with purchase orders. Resolves discrepancies.
  • Prepares and consolidates purchase requisitions. Negotiates and places routine purchase orders.
  • Follows up and expedites overdue orders.
  • Ensures accurate and timely data entry into the PeopleSoft system.
  • Assigns daily work schedules to ensure the efficiency of both departments.
  • Ensures a safe work environment for staff in both areas of responsibility by complying with all regulatory requirements
  • Provides hands-on training for new employees.
  • Evaluates employee job performance. Handles discipline of employees as needed and in accordance with company policy
  • Prepares and monitors both PS and OTPS budgets.
  • Accumulates data for budget preparations, fiscal reports, and review of budget estimates.
  • Ensures all services in areas of responsibility are provided efficiently and professionally.
  • Plans, directs, coordinates, controls and reviews work of subordinate administrative personnel relating to assigned tasks and projects in health care setting administration, health care setting management and related fields.
  • Works collaboratively with the ACM of Blue Bin process to ensure the process is functioning effectively and efficiently.
  • Performs annual inventory per established processes in conjunction with Central Office.
  • Oversees Over-the-counter (OTC) medications and supplies.
  • May represent departmental leadership on various internal and external committees and in relevant functions and programs.
  • Establishes and maintains liaison with all department heads, supervisors and chiefs of service to facilitate and expedite the purchasing of supplies and equipment.
  • Recommends, assists and participated in establishment of standards and specifications for all supplies.
  • Works collaboratively with administration, Central Office Supply Chain to maximize efficiencies and productivity.
  • Works collaboratively with the Receiving Department to ensure that all items are receive in a timely and effective manner.
  • Establishes effective par levels and reviews periodically with nursing and others to ensure levels support needs. (Blue Bin)
  • Maintains up-to-date knowledge of prices, new items and current trends.
  • Designs new forms as necessary and required.
  • Meets with nursing and other customer stake holders regularly to ensure issues are resolves expeditiously and effectively.
  • Participates in cost analysis studies relative to new products.
  • Assistants and participates in the development of Material Management Functions.
  • Performs other related suites as necessary.
  • Provides technical training proper decontamination and reprocessing of medical equipment.
  • Works collaboratively with Biomed to ensure that all medical equipment is working properly and coordinates repairs with Biomed.
  • Reviews multiple sources for product alerts and recalls to ensure patient safety.
  • Preforms other duties as needed


Minimum Qualifications
1. Bachelor's degree from an accredited college or university in Accounting, Finance or Business Administration; and,
2. Three (3) years of experience in accounting, finance or business administration, two (2) years of which must have been in a supervisory capacity within relevant areas in settings related to a hospital, medical center or health care facility; and two (2) years of which must have been in a related management of purchasing capacity or,
3. Satisfactory equivalent combination of education, training and experience. The education cited above may be substituted for by experience on a year-for-year basis. However, all candidates must have a minimum of a High School or its educational equivalent.
