Job Summary: The AI Solutions and Adoption Specialist supports the effective, responsible, and practical adoption of artificial intelligence solutions across Ontario Tech University. The role works with academic, administrative, and service units to identify opportunities for AI-enabled improvement; develop and support AI solutions; and provide training, consultation, documentation, and adoption support for university-approved AI platforms and tools. The role develops and pilots agentic AI workflows, conversational agents, knowledge assistants, and AI-enabled process improvements while ensuring alignment with university requirements for security, privacy, responsible use, accessibility, usability, and operational supportability.

Nature of work:
This position reports to the Manager, Collaborative Technologies

Responsibilities/accountabilities:
  • AI education, training, and user enablement (25%): deliver training, workshops, office hours, demonstrations, AI literacy materials, prompt guidance, knowledge articles, user guides, and practical guidance for non-technical users.
  • AI adoption, engagement, and change support (25%): develop adoption plans, communications, engagement activities, success measures, and feedback mechanisms; monitor adoption patterns and barriers.
  • AI consultation, requirements gathering, and solution planning (20%): identify business objectives, process challenges, user requirements, and AI opportunities; assess feasibility, value, risk, data needs, supportability, accessibility, privacy, security, and institutional alignment.
  • AI solution development, piloting, testing, and support (20%): design, configure, develop, test, and support agentic AI solutions, conversational agents, knowledge assistants, workflow automations, and AI-enabled service improvements using approved platforms; conduct proofs of concept, user acceptance testing, quality review, documentation, release planning, and support.
  • Responsible AI, governance support, and continuous improvement: contribute to standards, guidelines, documentation, intake processes, use-case assessments, and responsible AI practices; monitor emerging technologies, vendor roadmaps, higher-education practices, privacy/security considerations, and platform changes.


Required Skills:
  • Working knowledge of Microsoft 365
  • Microsoft Copilot
  • Copilot Studio
  • Azure AI Foundry
  • Google Gemini
  • Google Workspace AI capabilities, or similar enterprise/postsecondary AI development and orchestration platforms
  • Understanding of agentic AI, prompt development, retrieval-augmented generation, knowledge grounding, workflow automation, AI testing, and human-in-the-loop review
  • Understanding of privacy, security, accessibility, responsible AI, data governance, records management, and institutional risk
  • Knowledge of user adoption, change support, training development, consultation, documentation, and service enablement.
  • Strong communication, facilitation, consultation, analytical, and problem-solving skills; ability to create documentation, training materials, user guides, process maps, adoption plans, implementation resources, and support materials; ability to manage multiple priorities, coordinate pilots and implementations, and work independently while aligning with IT Services and university requirements.

Required Education:
  • Completion of a university program consisting of four academic years.
  • An equivalent combination of education and related experience may be considered.
