Administrative Technician in the Administrative Services Division
Salary: $46.6409 - $60.1038 per hour (DOQ) plus Excellent Benefits

The Town of Los Gatos has one immediate opening for a full-time Administrative Technician to provide support for the Administrative Services Department that contains Finance, IT, and HR. The Administrative Technician would be responsible for providing support to the Directors of each of the Administrative Services Division. The HR office handles recruitments, benefits, workers' compensation, union agreements, files, employee communications and a variety of personnel transactions and special projects. This position will also be responsible to update the Human Resources website. This position requires strict confidentiality and the ability to handle a large volume of work with precise attention to detail.

Ideal Candidate
We are seeking a candidate who is technology-oriented, with the ability to improve the efficiency of the Administrative Services team and distribution of information through web-based tools and applications. Proficiency in MS Word and Excel is a must, along with the ability to work with a variety of databases including the Tyler Munis ERP System and OpenGov for purchasing projects and agreements. The position will also assist in the preparation of presentation materials, including PowerPoint and other platforms that incorporate visual and audio effects.
Schedule
  • As this position supports the Administrative Services Division, the person selected will be required to be available for Finance Commission meetings that occur every first Monday of each month at 5:30 pm.
  • This position begins as an onsite role during the initial training period. Upon successful completion of training, employees may be eligible for a hybrid work schedule (up to two days per week).

Duties and Responsibilities
Examples of Duties
  • Process a variety of documents, such as employee hires, terminations, retirements, and various benefit forms by entering data, scanning and filing in official personnel files and distributing copies.
  • Prepare for meetings by checking on-line availability of rooms, sending notices, handling meeting logistics and equipment set-up; coordinate and distribute meeting materials as needed including preparing commission agendas and documents.
  • Update job postings and salary data by entering the information on master documents and posting to the Town's website.
  • Monitor the Human Resources general email inbox by replying to messages and forwarding emails to appropriate parties.
  • Respond to employee inquiries regarding policies and benefits; respond to other agency inquiries and complete survey data.
  • Process agreements, contracts, requisitions, purchase order and invoices through the Tyler Munis ERP system
  • Assist with compiling data, statistics and reports, including compliance reports, employee census data.
  • Plan and execute special events, such as all-employee meetings, wellness and benefits events.
  • Assist professional and administrative support staff with various projects, and technical and administrative functions.
  • Maintains and updates records of various types of transactions, such as Personal Action Forms (PAF) and contracts, and compiles and arranges data from diverse sources into report format.
  • Provide technical and administrative support related to bargaining, disciplines and grievances in accordance with the definition of "Confidential" as provided in the Town's employee-employer resolution.

Minimum Qualifications
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying.A typical way to obtain the required qualifications would be:

Experience and Education: Three years of complex and varied administrative and technical support experience is required. College-level coursework or technical training or certification is highly desirable. Applicants with more years of experience and Human Resources background in the public sector will receive priority in the screening process.
Desired Qualifications: One (1) of more years of experience providing administrative support to a Finance, IT, or Human Resources Department. Experience with Tyler Munis ERP or contracting software is also highly desired.
