Position Title:Program Support Specialist
Constellation seeks a Administrative Operations Specialist to join our Homeland Security team in Washington, DC. This role performs critical federal logistical and administrative functions in a NW DC office 5 days per week that align with federal guidelines and agency mission requirements. This role supports day-to-day administrative operations to ensure efficient personnel and program support. This position is responsible for providing administrative and operational support within the office, with a focus on filing, data entry, scheduling, and correspondence. This role also leads the managing program schedules and coordinate meetings using Microsoft Outlook and Teams, promptly resolving scheduling conflicts.

Key Responsibilities:
  • Utilize expertise in communication product development to update existing organizational materials such as slick sheets, 101 decks, Division 101s, executive briefs, Standard Operating Procedures (SOPs), and the employee and supervisor handbook.
  • Coordinate and prepare for the Operations Directorate's daily activities, including managing information requests, appointment scheduling, agenda development, and compiling support materials and background information.
  • Regularly review SharePoint site to identify and implement necessary updates and maintain division library.
  • Draft and edit correspondence, briefs, and reports with discretion and tactful judgment.
  • Coordinate and assist with the movement of government assets, including office equipment, supplies, and materials.
  • Communicate with staff and departments to meet logistical and administrative needs.
  • Create a Power BI dashboard or other automated tools for tracking and managing various related spreadsheets.
  • Monitor supply levels and assist with ordering and restocking supplies as needed.
  • Provide calendar and meeting support, including scheduling, agenda preparation, and note taking for staff meetings and office projects.
  • Provide support for maintaining the organizational source requests utilizing a centralized tracker to meet operational needs.
  • Monitor and respond to routine inquiries via the shared email box or phone, escalating when necessary to the senior leadership.
  • Assist with logistics and coordination of internal training, workshops, tasker responses.

The ideal candidate must have the following experience, background, and credentials:
  • A minimum of three (3) years of experience in a business/administrative support role.
  • Bachelor's degree in business, Human Resource Management, or a related field.
  • Proficiency in Microsoft Office Suite (SharePoint, Word, Excel, Outlook, PowerPoint, Power BI).
  • Be a U.S. citizen able to pass a background investigation by the client agency. DHS clearance with CBP or DoD Top-Secret preferred.
