This position will provide comprehensive operations, administrative and executive support to senior organizational leadership and will serve as a principal advisor on administrative and management directives, implement systems and processes, facilitate executive-level meetings and events, and ensure seamless coordination across staff and leadership. This position is located at Picatinny Arsenal, NJ.
What will you be doing?
This position will be a key member of the CPE Ground Solider Systems - Combat Platforms team.
Duties include:
- Serve as a principal advisor to leadership on administrative and management directives; implement and monitor higher headquarters guidance to ensure compliance.
- Analyze operating practices, recordkeeping systems, forms control, and resource requirements; recommend and implement process improvements.
- Research, coordinate, and provide guidance on regulations, policies, directives, and procedures; perform studies and special projects across management and program areas.
- Ensure effective communication and coordination with stakeholders, including PEOs/PMs, cross-functional teams, ASA(ALT), DA, and OSD, as appropriate.
- Develop, execute, and track intergovernmental agreements (MOU, MOA, MFR); prepare and archive agendas, briefings, minutes, calendars, dashboards, and significant action reports.
- Coordinate, schedule, and facilitate meetings, events, and travel for organization leaders, including staff meetings, ceremonies, town halls, program reviews, and team-building events.
- Provide technical support for meetings and VTCs, including preparation of documents, presentations, and briefing materials; troubleshoot system/access issues with help desk personnel.
- Plan and support systems readiness reviews, touchpoint reviews, Industry Days, and milestone reviews.
- Prepare milestone review packages, draft program management documentation, and develop briefings and graphics in support of decision reviews.
- Respond to taskers by gathering and analyzing information, drafting language, coordinating concurrences/approvals, and submitting timely responses.
- Quality-check documentation and briefings for format, grammar, and content; coordinate final reviews with leadership and Public Affairs.
What skills will the ideal candidate have to be successful?
This position will require the following skillsets and experience:
- Bachelor's degree in Business Administration, Management, Public Administration, Operations Management, or a related field.
- 10 years experience in operations, administrative management, executive support, or program support.
- Demonstrated experience supporting senior leadership in a fast-paced, deadline-driven environment.
- Prior experience in a federal, DoD, DA, or comparable government environment.
- Must be a US Citizen and able to obtain and maintain a U.S. Government security clearance
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, VTC and collaboration platforms (e.g., Microsoft Teams).
- Experience facilitating senior-level reviews (Program Reviews, Touchpoint Reviews, Industry Days, IPTs).
