Description

The Administrative Manager supports the administrative operations of the Department of Family Medicine and Community Health at Mount Sinai. Responsibilities include the management of the Mount Sinai Department of Family Medicine medical staff across the health system, Department faculty appointments and promotions in the Icahn School of Medicine, overseeing the Department's HR process, providing support to clinical operations in the Family Medicine Residency Inpatient Service at Mount Sinai Hospital, and supporting the department's administrative operations.

Requirements

Medical Staff Administration
  • Oversee the administration of the Department of Family Medicine medical staff across the Mount Sinai Health System.
  • Independently manage the credentialing process for employed and affiliated family medicine physicians, ensuring timely completion of all requirements.
  • Serve as the primary liaison between Medical Staff Offices, Human Resources, Employee Health Services, department leadership, affiliated organizations, and providers to facilitate credentialing and onboarding activities.
  • Provide guidance and support to physicians, administrators, and support staff regarding credentialing requirements, timelines, and institutional policies.
  • Ensure physician credentials remain current and compliant with Mount Sinai Health System Medical Staff Bylaws and regulatory requirements.
  • Maintain accurate credentialing records and related documentation.
  • Coordinate provider clinical evaluations and ongoing professional practice evaluations.


Faculty Affairs Administration
  • Manage faculty appointments and promotions for the Department of Family Medicine within the Icahn School of Medicine at Mount Sinai.
  • Initiate and coordinate new faculty appointment and promotion applications for clinicians and educators across the Mount Sinai Health System and affiliated organizations.
  • Advise faculty members and departmental administrators regarding appointment and promotion requirements, timelines, and institutional policies.
  • Coordinate the annual faculty evaluation process to ensure timely completion and compliance with School of Medicine requirements.


Human Resources Administration
  • Coordinate departmental human resources transactions in collaboration with Mount Sinai Human Resources and affiliated organizations.
  • Create and maintain employee profiles.
  • Assist health system leadership with review and processing of employment agreements and related documentation.
  • Manage departmental HR systems and maintain accurate personnel records.
  • Serve as the departmental liaison for HR-related processes and resolve issues to ensure efficient completion of personnel transactions.


Clinical Operations Support
  • Coordinate administrative operations for the Family Medicine Inpatient Service.
  • Assist with coordinating the inpatient attending physician schedule.
  • Coordinate onboarding and orientation for new inpatient attending physicians.


Department Operations
  • Provide day-to-day operational oversight, guidance, and work direction to the Department Coordinator.
  • Support the Department Chair, Vice Chair, Family Medicine Administrator, Inpatient Director, and other departmental leadership in achieving strategic and operational priorities.
  • Prepare, edit, and proofread professional correspondence, reports, presentations, and other departmental communications.
  • Coordinate IT system access for members of the department, as applicable.
  • Lead and participate in special projects and departmental initiatives as assigned.
  • Perform other related duties in support of departmental operations and strategic objectives.
