Overview

The Administrative Manager is responsible for the administrative and operational activities in support of the Computational Biology Program (Comp Bio) and the Translational Data Science Integrated Research Center (TDS IRC), and its research, faculty, trainee, and programmatic activities, under the general direction of the Director of Programs and Strategy. Develops, implements, and evaluates procedures related to program operations and administration, ensuring effective and compliant management of financial, personnel, grant, space, and other administrative resources. Serves as a key liaison between program leadership, faculty, staff, trainees, institutional departments, funding sources, affiliated institutions, and external organizations. Coordinates and oversees faculty, trainee, committee, funding, recruitment, seminar, conference, and other program activities and initiatives. Provides administrative leadership and support for program planning, reporting, and special projects in partnership with program leadership and Principal Investigators.

 

This role will have the opportunity to work partially at our campus and remotely.

Responsibilities
  • Oversee onboarding, and training (as appropriate), for program staff, ensuring that staff are properly oriented to program operations.
  • Develop, monitor, and manage program budgets, ensuring that financial allocations, expenditures, grants, contracts, and institutional funds are administered in accordance with applicable guidelines and requirements. Coordinate with Finance, Accounting, Grants Administration, and other institutional offices to address funding issues and ensure responsible stewardship of program resources.
  • Develop, administer, and continuously improve policies and procedures related to program operations and administration, establishing effective processes that support faculty, research, trainee, funding, and other program activities.
  • Serve as a key program liaison, representing the Computational Biology Program/TDS IRC with other Center departments and institutional offices, faculty, investigators, trainees, funding sources, affiliated individuals and institutions, and outside organizations. Respond to inquiries, resolve administrative issues, and facilitate effective communication and collaboration across stakeholders.
  • Coordinate space, equipment, and resource planning and utilization, evaluating current program needs, overseeing the acquisition and maintenance of space and equipment, and anticipating and planning for future needs in support of faculty, staff, trainees, and research activities.
  • Coordinate faculty recruitment and merit review processes, including establishing and supporting faculty search committees, coordinating recruitment activities and candidate visits, monitoring the selection process, coordinating annual merit reviews, and ensuring completion of associated administrative requirements.
  • Develop, implement, and maintain program and inter-institutional training activities, coordinating trainee recruitment and selection, monitoring trainee activities and program participation, serving as a liaison with participating institutions and programs, and directing follow-up activities and reporting.
  • Plan, coordinate, and attend program and committee meetings, including preparing agendas and materials, coordinating participants, documenting proceedings and decisions, and tracking action items and follow-up activities.
  • Monitor committee and working group activities, ensuring objectives and deliverables are addressed within designated time frames and coordinating follow-up activities with committee members, faculty, investigators, and program leadership.
  • Coordinate seminars, lectures, conferences, retreats, and other scientific and program events, planning schedules, securing space and speakers, coordinating logistics and communications, attending events, and monitoring activities to ensure successful execution.
  • Assist program leadership and Principal Investigators in preparing for and participating in funding agency reviews, site visits, renewals, and other external evaluations, coordinating the preparation, collection, review, and submission of follow-up materials as requested.
  • Coordinate the production and distribution of special and recurring program reports, including annual reports, funding and program reports, faculty and trainee reports, leadership materials, renewal documentation, and other Center or institutional deliverables.
  • Coordinate and administer program-sponsored funding initiatives, including internal research awards, pilot funding opportunities, trainee fellowships, and other competitive funding programs. Support application processes, committee review, award administration, communications, tracking, and reporting.
  • Support program strategic initiatives and special projects, working with program leadership and Principal Investigators to plan, coordinate, implement, and monitor complex projects and initiatives that advance the program's research, training, funding, and organizational priorities.
  • Perform other responsibilities as required.
Qualifications

MINIMUM QUALIFICATIONS:

  • Requires Bachelors Degree and three years of administrative management or relevant experience OR equivalent education/experience.

PREFERRED QUALIFICATIONS:

  • Experience in an academic or research organization.
  • Excellent written and verbal communication skills.
  • Strong time management skills and budgeting experience.
  • Ability to relate to and coordinate with multidisciplinary and culturally diverse research, technical and management staff.

The annual base salary range for this position is from $80,172 to $114,941, and pay offered will be based on experience and qualifications.Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
