Administrative Lead
We are seeking a highly organized, proactive, and detail-oriented Administrative Lead to provide comprehensive support to our PhRD Management Teams, Leadership Team (LT), and staff located in Andover, MA. In this vital role, you will serve as the operational anchor for our team—ensuring seamless day-to-day activities, managing complex schedules, and leading coordination efforts for facilities, IT, and HR-related processes.

What You Will Achieve
In this role, you will:
- Provide comprehensive administrative support to PhRD Management Teams, the Leadership Team (LT), and staff located in Andover, MA.
- Provide meeting management support, including supporting agendas, gathering and distributing materials, and sending invites to appropriate colleagues.
- Record meeting summaries, key decisions, and action items while handling sensitive and confidential information with discretion.
- Handle all aspects of departmental or global meeting logistics, including conference room reservations, teleconferences, videoconferences, catering, and arranging visitor access as needed.
- Maintain complex calendars, manage travel arrangements, and process expense reporting for LT members, as required.
- Collaborate with and serve as a backup for other administrative colleagues in St. Louis or Cambridge and liaise seamlessly with administrative partners across the organization.
- Submit tickets for computers, printers, and facility-related issues, order general office supplies, and coordinate office equipment changes with support departments.
- Schedule interviews for staff, colleagues, and contractor positions.
- Support team leaders with the onboarding and offboarding of colleagues and contractors, including coordinating office/cubicle space, computers, phones, and corporate AMEX cards.
- Support the organization and execution of departmental events (e.g., arranging catering, coordinating locations).
- Complete special projects assigned, acting as a lead on administrative workflows.
Here Is What You Need (Minimum Requirements)
- Bachelor's degree with 0+ years of experience; OR
an associate's degree with 4 years of experience; OR a high school
diploma (or equivalent) and 6 years of relevant experience - Experience demonstrating the ability to carry out the administrative and operational functions described above.
- Advanced Microsoft Office Skills, specifically in Outlook, Excel, and PowerPoint.
- Strong organizational, interpersonal, communication (written and oral), and project management skills.
- Excellent attention to detail and problem-solving skills, consistently demonstrating resourcefulness and perseverance through ambiguous situations.
- Demonstrated ability to manage multiple tasks, meet tight deadlines independent of direct supervision, and work collaboratively in a matrix organization.
- High flexibility, taking initiative, and demonstrating a positive, enthusiastic attitude with the ability to work independently and in team settings.
- Proven efficiency and accuracy in all administrative functions.
Bonus Points If You Have (Preferred Requirements)
- Demonstrates working knowledge and skills regarding general administrative functions and performs these in support of supervisor/staff (telephone/e-mail etiquette, cross-site access, Pfizer Travel & Expense).
- Proficiency in other Pfizer systems (e.g., Ariba, SharePoint, OneNote, GDMS); SharePoint website management knowledge is preferred.
- Experience using common AI tools, including generative technologies such as Google Gemini or Microsoft Copilot, to support problem solving and enhance productivity. Demonstrated curiosity for exploring how these tools can improve outcomes and understanding of responsible AI practices, including risk management and ethical use.

The salary for this position ranges from $33.11 to $55.18 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
