Administrative Business Partner

San Carlos, CA | Fully Onsite
$140,000 - $150,000 Base + Benefits

We are seeking a highly capable Administrative Business Partner to support senior leadership within a fast-paced, highly technical organization building advanced robotics and AI-driven systems designed to operate in the real world.

This is a high-trust, high-leverage role that goes beyond traditional executive support. You will act as a strategic extension of leadership-bringing structure, clarity, and operational discipline to a rapidly evolving environment where priorities shift quickly and execution speed is critical.

The right person thrives in ambiguity, takes ownership without needing direction, and excels at turning complexity into organized, scalable systems. You will play a key role in enabling executives to operate more effectively by reducing friction, improving coordination, and ensuring priorities translate into action.

This role offers deep exposure to cross-functional teams spanning engineering, product, operations, recruiting, and business leadership, making it ideal for someone who enjoys working at the center of technical execution and company-building.

What You'll Do
• Own and improve executive operating systems that increase leadership capacity and execution speed
• Act as a strategic extension of executive leadership-creating structure, driving coordination, and improving organizational effectiveness
• Manage complex calendars, shifting priorities, and executive workflows with sound judgment and attention to detail
• Coordinate execution across cross-functional teams and ensure priorities translate into outcomes
• Build scalable processes and workflows that reduce operational friction
• Support executive planning, communications, and day-to-day decision-making
• Partner across Product, Operations, Recruiting, Finance, and business functions to improve alignment
• Help onboard and support emerging executive functions as teams scale
• Support up to two executive leaders simultaneously and provide backup partnership coverage as business priorities evolve
• Anticipate challenges early and proactively solve problems before they become blockers
• Bring calm, organization, and momentum to a dynamic, high-performance environment

What We're Looking For
• 3+ years of experience in Administrative Business Partner, Executive Assistant, Executive Operations, Executive Business Partner, or similar strategic support roles
• Experience supporting executive leadership including Founder, CEO, CTO, COO, or senior leadership teams
• Background working within fast-paced technology environments
• Demonstrated success managing executive operations, calendars, and cross-functional execution
• Experience creating scalable systems, operating rhythms, and process improvements
• Strong organizational skills with exceptional attention to detail
• Ability to manage confidential information with discretion and professionalism
• Strong executive presence and excellent communication skills
• Comfortable navigating ambiguity while maintaining execution speed
• Experience in startup, scale-up, or venture-backed environments preferred
• Exposure to engineering, AI, robotics, hardware, manufacturing, or advanced technology organizations is highly valued
• Familiarity with AI and productivity tools to improve workflows and operational effectiveness
• Someone who enjoys bringing clarity and structure to complex environments
