The Role
A successful candidate will be self-motivated, proactive, quick-thinking, flexible, able to juggle multiple and diverse responsibilities. They will need to have a strong emphasis on organization and an unwavering attention to detail at all times. This is a demanding and fast moving position that requires someone who is able to exercise good judgment and significant initiative. An ideal candidate will have a passion for communications and understand the media landscape.
Specific responsibilities include, but are not limited to:
Support the day-to-day administrative needs of two directors on the Corporate Communications team.
Maintain calendars, including scheduling meetings both internally and externally/booking large department events/meetings and off-sites.
Organize domestic and international travel arrangements such as flights, hotels, and vehicle transportation.
Contribute to updating and managing team resources.
Help staff events and support special projects as needed.
Manage vendor set-up and track invoices.
Organize and cascade weekly team reports and updates.
Prepare expense reports in a timely and accurate manner.
Prepare executive briefings
Research and consolidate data into memos and presentations.
Qualifications:
BA/BS Degree- 3-5 years as an executive assistant or administrative assistant
Prior experience supporting senior communications executives who regularly interface with the C-suite (Communications experience is preferred)
Strong written and verbal communication skills and the ability to multitask
Proficiency in Google Suite: Gmail, GCalendar, Google Docs, Google Sheets, Google Groups, MS Word/Excel
Ability to be discrete and maintain confidential information
Understanding of how to prioritize and respond accordingly
Ability to be flexible, nimble and act with urgency
Strong attention to detail
Proactive self-starter
Team-player who operates in a fast-paced team-oriented setting
Displays professionalism in communication with internal and external partners
Generally, our compensation structure consists solely of hourly pay; we do not have bonuses. You choose each year how much of your compensation you want in hourly pay versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The hourly range for this role is $38.46 - $71.39.
