POSTING ID # 56981Position SummaryAre you looking to build a meaningful career in public service? The Illinois Department of Central Management Services (CMS) is seeking a highly motivated Administrative Assistant to support the Director's Office.
In this role, you will serve as the primary personnel liaison, vehicle coordinator, and timekeeper for the Director's Office. You will help manage the Director's calendar, coordinate sensitive information, and ensure that all confidential materials are handled with consistency, quality, and timeliness.
Qualified candidates must possess the equivalent of four years of college and at least two years of professional experience.
The ideal candidate will bring strong organizational and time-management skills, the ability to balance multiple priorities in a fast-paced environment, effective analytical and problem-solving capabilities, at least two years of professional human resources experience, and experience gathering data, preparing reports, and supporting smooth office operations.

Position Essential Functions- Under general direction of the Director of the Department of Central Management Services, functions as an administrative assistant to the Director's Office, performing a variety of responsible and complex assignments, which may be of a sensitive or controversial nature requiring a comprehensive knowledge of departmental rules, regulations, and operating procedures.
- Conducts studies and investigates problems affecting agency operations.
- Serves as the primary personnel liaison and vehicle coordinator for any area without a dedicated liaison.
- Serves as timekeeper for areas without a dedicated timekeeper.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
- Requires two (2) years of professional experience in a public or private organization.
Preferred Qualifications - Prefers two (2) years professional experience gathering data and creating reports.
- Prefers two (2) years of professional experience with the Microsoft Office Suite software applications, including Word, Excel, PowerPoint, SharePoint, PowerPlatform, and mainframe applications.
- Prefers extensive knowledge of using effective organizational time management and communication skills.
- Prefers extensive knowledge of using clear and effective communication skills, both verbally and in writing.
- Prefers extensive knowledge of using effective analytical and judgement skills.
- Prefers two (2) years of professional human resources experience.
Conditions of Employment- Requires completion of a background check and self-disclosure of criminal history.
- Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate.
- Requires the ability to use agency technology/equipment (i.e., mobile phone, laptop, etc.) properly in accordance with information security awareness policies and confidentiality guidelines.
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR [redacted](a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
