  • Coordinate support for various on-site meetings, including logistics and catering.
  • Respond to employee requests for information and provide resource referrals.
  • Manage special projects as assigned and provide backup support for other administrative staff.

As an Administrative Assistant - Level 4 located in San Diego, CA, you'll be a linchpin in missions of paramount importance, defining the art of the possible from day one.

This position will provide Administrative support to the Director of Western Region Production Engineering & Operations.

Job responsibilities include, but are not limited to, the following:
  • Proactively manage calendar(s) for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs and resolve frequent schedule conflicts.
  • Support reporting and presentation requirements for assigned staff at director level. Collect and summarize data, prepare draft documents, plan and schedule reviews and facilitate complete and timely submissions. [All Hands, Town Halls, OU/BU/Division/Sector Reviews and more]
  • Make travel arrangements and process expense reports in a timely manner for assigned staff.
  • Attend and facilitate staff meetings, publish agendas and manage action item lists and follow up.
  • Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations, hotel office space allocations and catering.
  • Respond to a wide variety of employee requests for information, time, meetings or other, provide direct support and/or resource referrals as appropriate.
  • Manage and/or support special projects as assigned.
  • Provide back-up support for other administrative staff as needed
  • Understanding of, both general and specific aspects of the job and their practical application to complex problems and situations that may be encountered.
  • May assist in orienting, training, assigning and checking the work of lower level employees.
  • Frequent contact with individuals representing all levels of the organizations, and/or individuals of significant importance within the company. Contacts involve planning and preparation of the communications, require skill, tact, persuasion and/or negotiation to accomplish the objectives of the communication.
  • Other duties as assigned

Basic Qualifications:
  • High School Diploma or equivalent with 10+ years experience as a Administrative Assist supporting Senior Directors and VPs
  • Strong interpersonal, communication and organizational skills.
  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
  • Advanced proficiency in business and travel expense systems (Concur, Edge, or similar) with complex, frequently changing travel
  • Strong document preparation skills
  • Strong ability to multi-task with competing priorities in a positive manner
  • Intermediate to High level MS Office Suite (Word, Excel, Outlook and PowerPoint)


Preferred qualifications
  • Familiarity with Northrop Grumman (NG) policies and procedures
  • Familiarity with NG systems (Concur, iBuy, and other NG tools)
  • US Citizenship required

Northrop Grumman Total Rewards

Primary Level Salary Range: $66,600.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.

The application period for the job is estimated to be 20 days from the job posting date. However, this timeline may be shortened or extended depending on business needs and the availability of qualified candidates.
