Job Responsibilities

Direct the day-to-day and strategic oversight of the Communications and Administrative Support Unit operations for the Division. Responsible for the unit's continuous process improvement, efficiency, and business continuity efforts.

Manages the Administrative Support functions of the Division of Procurement Services (DPS) including bid room operations, asset management, front desk/reception, supplier registration and general administrative support needs.

Serves as the Division's communication coordinator. Direct the content creation and publishing of the Division's legally required publication (SCBO) and the monthly DisPatcheS newsletter. Reviews all ads, notices, and other data for compliance with the Code and policy DPS prior to daily publication. Assist all end users and other stakeholders with inquiries and problem resolution.

Responsible for leading the supplier registration tasks in coordination with the SC Comptroller General's Office. Coordinates with staff to ensure the timely processing of bids, assists with procurement activities and market research, and is the eProcurement project liaison for master supplier data. Handles escalated items and resolves complex inquiries from suppliers and other stakeholders utilizing customized reports and research of data systems.

Develop and monitors supplier compliance through general and target file reviews. provides solutions for inquiries and assistance to procurement professional and DPS staff. Responds to varied and complex ad hoc information requests in an understandable and logical format. Processes required procurements documentation into OnBase and other data systems in a timely and accurate manner. Maintains accurate records and provides prompt and courteous service to stakeholders.

Provide administrative support to Audit & Certification. Assist in preparing agenda items for the SFAA Board.

Coordinates division emergency management functions.

Manages the IT and non-capital inventory, reconciliation, and documentation for division and confers with SFAA IT and Finance Directors as well as the Finance unit manager on relevant controls. Manages surplus processes.
Minimum and Additional Requirements

A bachelor's degree and relevant program experience or an approved acceptable equivalence.
