Accounting Manager

About the job

Join the Transdev team in Oakland, CA, serving the East Bay Paratransit Consortium contract. The Accounting Manager performs accounting/finance functions. These functions include daily billing file updates, payroll processing, month-end activities, and weekly/monthly reconciliations. Heavy Excel, including maintaining/updating spreadsheets for billing/fare collections and reconciliation/employee attendance and PTO.

Competitive annual salary range: $89,000-$111,000/year

Key Responsibilities
  • Reports to the General Manager with a dotted line reporting requirement to the Regional Finance team.

Billing & Accounts Receivable
  • Prepare and process weekly billing and invoicing.
  • Manage pass-through billing to clients, including revenue services, inventory, and maintenance-related charges.
  • Perform billing reconciliations to ensure invoice accuracy.
  • Process debit and credit memos.
  • Reconcile and prepare all monthly invoices as necessary
  • Reconcile broker billing against internal billing records and resolve discrepancies.

Month-End Close (MECL)
  • Prepare bi-monthly fuel invoice.
  • Record monthly fuel and vacation accruals.
  • Perform month-end close activities, including:
  • Account reconciliations
  • Journal entry preparation and posting
  • Reclassifications
  • Accrual of accident repair costs
  • Recording daily route reports
  • Manage accruals to ensure revenues and expenses are recognized in the appropriate accounting periods.

Fare & Deposit Reconciliation
  • Complete daily and weekly fare reconciliations.
  • Perform daily deposit reconciliations.
  • Prepare weekly fare and deposit reconciliation reports.

Payroll Administration
  • Manage payroll processing, ensuring timely and accurate entry of employee hours each pay period.
  • Supervise the on-site Payroll Clerk, including training, coaching, performance management, and disciplinary actions.
  • Process all payroll-related transactions, including:
  • Wage increases
  • Retroactive pay
  • Final paychecks
  • Bonuses
  • Payroll adjustments
  • Record and maintain employee time-off balances, including:
  • Vacation
  • Sick leave
  • Floating holidays
  • Bereavement leave
  • Regular days off
  • Track and report break violations, missed punches, and leaves of absence (LOA's).

Leave & Attendance Tracking
  • Manage daily vacation and sick leave trackers.
  • Perform bi-weekly reconciliation of leave balances to payroll reports.

  • Transportation experience preferred
  • Able to work on-site in Oakland, CA on weekdays and occasional Sunday mornings during payroll periods impacted by Holiday's.

Physical Requirements

The essential functions of this position require the ability to:
  • Sit for extended periods (up to 6-8 hours per day); infrequently walk for short distances and on possible sloped ground or slippery and uneven surfaces.
  • Push and pull objects up to 25 pounds, occasionally throughout the workday; lift material weighing up to 25 lbs. with or without assistance; occasionally bend, kneel, or crouch to files or equipment stored at ground level.
