Purpose of Your Job Position:Reporting to the Director of Accounting, the Accounting Manager leads and coordinates accounting operations across the assigned nonprofit corporations, including Carmelite Sisters, Flos Carmeli Formation Centers, Sacred Heart Retreat House, Mount Carmel Health Ministries, Marycrest Manor, and Santa Teresita. The position provides managerial oversight of accounts payable, accounts receivable, billing, cash management, account reconciliations, intercompany accounting, financial reporting, and audit support, while ensuring that financial processes support each corporation's operational needs and the mission of the Carmelite Sisters.
The Accounting Manager is accountable for the timely and accurate completion of accounting processes and financial reporting for the corporations assigned, in accordance with GAAP and applicable nonprofit and healthcare accounting requirements. The position establishes and monitors consistent accounting procedures and internal controls, reviews the quality and completeness of financial information, identifies and resolves issues, and provides reliable financial analysis to support leadership decision-making across the organization.
Position Requirements Qualifications and Education Requirements: - Bachelor's degree in accounting, finance, or a related field from an accredited institution; CPA or equivalent professional certification preferred.
- Minimum of seven years of progressively responsible accounting experience, including at least three years in a supervisory or management capacity; experience in nonprofit and/or healthcare environments, including skilled nursing or assisted living, strongly preferred.
- Experience working with or supporting religious organizations, including an understanding of mission-based governance, stewardship, and the need to align financial practices with organizational values, preferred.
- Advanced knowledge of GAAP, nonprofit accounting, fund and donor-restriction accounting, financial reporting, and the design and monitoring of effective internal controls.
- Demonstrated experience managing the monthly and year-end close, reviewing journal entries and account reconciliations, and overseeing accounts payable, accounts receivable, fixed assets, intercompany transactions, and net assets with donor restrictions.
- Demonstrated proficiency with accounting and billing systems, including the ability to improve workflows, strengthen data integrity, and support system implementation or optimization; experience with Multiview and PointClickCare preferred.
- Experience in operational and capital budget preparation, including business plans.
- Experience in preparing financial and variance analysis.
- Demonstrates excellent working knowledge of Microsoft Office (Word, Excel).

Job Functions:The Accounting Manager provides financial leadership and analytical support to administrators, the Director of Accounting, and other key stakeholders in managing the financial health of the corporations. The position plans, coordinates, and oversees the daily work of staff responsible for billing, accounts payable, and accounts receivable; reviews results and escalates significant issues; and promotes timely, accurate, and consistent accounting practices across the assigned corporations.

Duties and Responsibilities - Plans, assigns, supervises, and reviews the work of staff responsible for billing, accounts payable, and accounts receivable for the corporations assigned. Establishes performance expectations and review procedures, provides training and coaching, ensures adequate segregation of duties and coverage, and confirms compliance with approved policies and internal controls.
- Oversees the accounts payable cycle to ensure invoices, approvals, coding, payment timing, electronic fund transfers, and supporting documentation are accurate, authorized, complete, and processed in accordance with established cash-management and internal-control procedures.
- Oversees intercompany accounting to ensure transactions are recorded and billed timely, balances are reconciled monthly, differences are researched and resolved promptly, and significant or aging items are reported to the Director of Accounting.
- Oversees preparation of weekly cash forecasts and payment runs for administrator review and approval. Evaluates liquidity needs, significant cash commitments, and timing considerations across assigned corporations, and communicates cash risks and recommendations to the Director of Accounting.
- Oversees billing through PointClickCare, Multiview, or Excel, as applicable to each corporation. Ensures billing is complete, accurate, timely, and supported by current rates and documentation; reviews exceptions and adjustments; and coordinates with residents, customers, administrators, and other stakeholders to resolve significant billing issues.
- Reviews revenue, accounts receivable aging, and census reports produced from PointClickCare for Marycrest skilled nursing and Santa Teresita assisted living programs. Ensures reports are complete, accurate, and delivered within close and billing deadlines, and investigates material variances or data inconsistencies.
- Monitors accounts receivable performance, including aging trends, collection activity, payer issues, and days in accounts receivable. Establishes follow-up expectations, reviews bad-debt and refund recommendations with administrators for approval, and escalates significant collection risks or unresolved balances.
- Ensure contract rates are current and up to date for both accounts receivable and payable processing.
- Updates billing rates in the billing software as required, annually and/or with government updates.
- Reviews and approves accounts payable and accounts receivable batches before posting to the accounting ERP system, confirming authorization, accurate coding, appropriate supporting documentation, proper accounting period, and compliance with established approval thresholds and segregation-of-duties requirements.
- Oversees vendor setup and maintenance to ensure appropriate approvals, accurate vendor information, W-9 documentation, tax classification, duplicate-vendor prevention, payment-method controls, and timely resolution of compliance exceptions.
- Reviews contribution postings and reconciliations to Advancement records to ensure gifts are complete, accurately classified, and recorded with the appropriate donor restrictions and purpose designations. Resolves discrepancies with Advancement and escalates significant accounting or documentation issues.
- Ensures contribution deposits are reconciled monthly to the Advancement Fund by Month report, reviews reconciling items and supporting documentation, and coordinates timely correction of variances between Advancement and the general ledger.
- Leads the monthly and year-end close for assigned corporations by establishing close schedules, coordinating staff assignments, reviewing completion status, resolving accounting issues, and ensuring financial statements and supporting schedules are accurate and delivered by established deadlines.
- Reviews and approves recurring and nonrecurring journal entries prepared by accounting staff and prepares complex or judgmental entries as needed, ensuring entries are accurate, supported, appropriately classified, and recorded in the correct accounting period.
- Assigns, reviews, and approves monthly balance-sheet reconciliations for assigned corporations. Ensures reconciling items are supported, aged, resolved timely, and escalated when material or overdue; prepares complex reconciliations as needed.
- Reviews monthly financial statements for completeness, accuracy, consistency, and reasonableness. Analyzes significant budget-to-actual and period-over-period variances, coordinates corrections or follow-up, and communicates findings, risks, and recommended actions to the Director of Accounting and relevant administrators.
- Leads preparation and review of Prepared by Client schedules and supporting documentation for annual audits and reviews of multiple corporations. Coordinates assignments and deadlines, resolves auditor questions, verifies that responses are complete and accurate, and monitors outstanding items through completion.
- Coordinates accounting support for external audits and examinations, including Medi-Cal and Medicare audits and other reviews as they arise. Ensures requested records are accurate, complete, and submitted timely; tracks findings and supports implementation of corrective actions.
- Oversees preparation of accounting information and supporting schedules for required healthcare regulatory filings, reviews submissions for accuracy and consistency with the general ledger, and coordinates with internal and external stakeholders to meet filing deadlines.
- Coordinates preparation of operating and capital budgets for assigned corporations, working with administrators and department leaders to develop assumptions, evaluate needs, document changes, and provide budget-to-actual analysis and forecasts throughout the year.
- Maintains and monitors consistent accounting policies, procedures, and internal controls across assigned corporations. Identifies control gaps and process inefficiencies, recommends corrective actions or policy updates to the Director of Accounting, and supports implementation and ongoing compliance.
- Oversees the annual Form 1099 process, including vendor data validation, tax-classification review, reconciliation to general-ledger activity, timely preparation and distribution, required filings, and correction of identified errors.
- Coordinates accounting information and supporting documentation for corporate, business, tax, and regulatory filings assigned to the Finance department. Maintains a filing calendar, monitors due dates, and works with leadership and external advisors to support complete and timely submissions.
- Provides timely financial and operational analysis in response to leadership requests, identifies relevant trends and risks, validates underlying data, and presents clear conclusions and recommendations to support informed decision-making.
