Account Coordinator - JLL

What this job involves: Join JLL as an Account Coordinator where you'll serve as the operational backbone for our senior executive team. In this dynamic role, you'll blend administrative excellence with project coordination, ensuring seamless daily operations across multiple priorities and time zones. You'll be the trusted partner who keeps executives organized, clients satisfied, and deliverables on track. This position offers the opportunity to work directly with leadership, gain exposure to high-level client interactions, and contribute to strategic initiatives while developing valuable skills in a fast-paced commercial real estate environment. What your day-to-day will look like:

  • Manage complex executive calendars, coordinate meetings across global time zones, and arrange comprehensive travel logistics while preparing detailed briefing materials for client engagements and stakeholder meetings.
  • Serve as project manager for special initiatives from concept through implementation, maintaining project files, budgets, production schedules, and process documentation while ensuring timely completion of deliverables.
  • Plan and execute high-impact events including leadership team meetings, executive retreats, and client-facing functions, negotiating vendor contracts and managing logistics end-to-end.
  • Prepare polished communication materials such as presentations, newsletters, and announcements, ensuring brand consistency, accuracy, and professional quality across all deliverables.
  • Process expense reports regularly, reconcile credit card charges accurately, and perform essential office functions including shipping, document management, and meeting room coordination.
  • Build and maintain strong relationships with clients and account vendors, proactively addressing stakeholder needs and sourcing new vendor partnerships when required.
  • Document executive meeting minutes and action items with discretion, managing confidential information while identifying opportunities to streamline administrative processes and improve efficiency.


Required Qualifications:

  • Bachelor's degree or equivalent relevant professional experience demonstrating comparable knowledge and capability.
  • Minimum 2 years of progressive experience in an administrative support or coordination role, preferably supporting senior-level executives.
  • Advanced proficiency in Microsoft Office suite including SharePoint, Outlook, Word, PowerPoint, Excel, and Teams.
  • Demonstrated ability to manage multiple priorities simultaneously with exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills with the ability to interact professionally and confidently with stakeholders at all organizational levels.


Preferred Qualifications:

  • Background or experience in commercial real estate, facilities management, or project management environments.
  • Proven track record of planning and executing events or strategic meetings involving multiple stakeholders.
  • Experience managing budgets, vendor relationships, or contract negotiations.
  • Familiarity with brand standards management and ensuring consistency across communications materials.
  • Demonstrated ability to thrive in ambiguous, fast-paced environments while making sound decisions with incomplete information.
  • Track record of working independently with minimal supervision while knowing when to escalate or collaborate.
  • History of anticipating needs proactively and delivering exceptional, hospitality-driven service that builds trust and client satisfaction.


Location: New York, NY

Work Shift:The position will follow a hybrid schedule-three days per week in the office and two days working from home. The standard work hours are Monday through Friday, 8:30 a.m. to 5:00 p.m.

Salary: $85000 to $100,000.00

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Estimated compensation for this position:

85,000.00 - 100,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
