Primary Objective of the Position:The Manager, HRIS is responsible for the strategic and operational management of the organization's Human Resources Information Systems. This role leads the optimization, maintenance, and continuous improvement of HR systems, ensuring data accuracy, regulatory compliance, and seamless integration across HR, Payroll, and Finance. The successful candidate will serve as a systems expert, lead related projects, and partner with stakeholders to enhance employee lifecycle processes and reporting capabilities.
Job Duties:- Serve as the system owner and subject matter expert for UKG (UltiPro) and UKG Workforce Management (WFM), overseeing all configuration, workflow design, security roles, and system integrations.
- Manage the implementation of new modules, system upgrades, and enhancements in partnership with IT, Payroll, and UKG support.
- Monitor and resolve system issues, escalate to vendors when needed, and lead root cause analysis for technical problems.
- Maintain and update system documentation, configuration records, and change logs.
- Oversee and maintain UKG WFM functionalities including timekeeping, scheduling, attendance tracking, and leave management.
- Partner with operations and payroll teams to ensure alignment of time rules, pay codes, job profiles, and labor allocations.
- Support audits and compliance by ensuring WFM configurations meet legislative and organizational standards.
- Build, maintain, and optimize UKG reports and dashboards to support HR, Payroll, Finance, and Operations.
- Lead data analysis and reporting efforts for employment equity, pay equity, turnover, headcount, and other compliance-related reports.
- Ensure data accuracy through regular audits, reconciliations, and proactive monitoring.
- Lead HRIS-related projects from planning through implementation (e.g., new module rollouts, WFM optimization, automation of onboarding/offboarding).
- Identify opportunities for process improvement and automation across HR and WFM workflows.
- Act as a liaison between HR, IT, Payroll, and third-party vendors to drive cross-functional project success.
- Provide technical support and training to HR team members, managers, and employees on UKG and WFM functionalities.
- Lead the implementation and ongoing enhancement of AI-powered HR tools (e.g., chatbot, knowledge base, automation workflows, SharePoint).
- Participate in HR projects related to digital transformation, system enhancements, and process improvement.
- Develop and deliver training resources, job aids, and change communications to support adoption and system usage.
- Support end-users through troubleshooting and process education.
Qualifications:- Minimum 7+ years of progressive HRIS experience, including 2+ years in a managerial or system leadership role.
- PCP or CPM designation from the National Payroll Institute is considered an asset.
- Hands-on experience with UKG (UltiPro) and UKG Workforce Management (WFM) is required.
- Strong understanding of time and attendance rules, scheduling logic, pay code configuration, and labor tracking within WFM.
- Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field.
- Demonstrated success in HRIS system implementation, workflow design, and project management.
- Proficiency in data analytics and reporting tools (e.g., Cognos, Business Intelligence, Power BI).
- High level of accuracy, attention to detail, and commitment to data governance.
- Strong interpersonal and communication skills, with the ability to work cross-functionally.
- Knowledge of payroll and labor compliance standards (e.g., CLC, ESA) is an asset.
