Full Job Description
Vice President of Administration & Operations Mechanicsville KIA is looking for a highly organized, resourceful, and professional executive to support senior leadership and ownership as Vice President of Administration & Operations. This is an ideal opportunity for someone who thrives in a fast-paced, high-trust environment, enjoys wearing multiple hats, and has the judgment and initiative to keep important priorities moving forward. You will work closely with ownership and executive leadership, helping coordinate and oversee a wide range of administrative, operational, and strategic responsibilities. This is a hands-on role for someone who is organized, proactive, discreet, and comfortable handling sensitive information and important projects. WHAT YOU'LL DO • Provide high-level administrative and operational support to ownership and senior leadership • Help coordinate company priorities, projects, meetings, and follow-up items • Assist with HR, recruiting, onboarding, employee relations, and training initiatives • Coordinate with vendors, contractors, and outside service providers • Assist with facilities, maintenance, capital projects, and office operations • Help monitor compliance, licensing, regulatory requirements, and important documentation • Assist with budgeting, expense tracking, vendor invoices, and financial reporting • Coordinate with marketing partners and assist with community and company events • Coordinate with Motor Vehicle Dealer Boards, regulatory agencies, licensing authorities, manufacturers, and industry organizations • Research and evaluate technology, automation, and AI tools that may improve efficiency • Help develop and maintain company policies, procedures, and organizational systems • Work with outside professionals including legal, accounting, compliance, and other advisors • Handle special projects and assignments on behalf of executive leadership • Maintain a high level of confidentiality and professionalism at all times THE PERSON WE'RE LOOKING FOR You don't need to be the loudest person in the room. You need to be the person who gets things done. We're looking for someone who is: • Exceptionally organized and detail-oriented • Professional, polished, and dependable • A strong communicator with excellent follow-through • Comfortable managing multiple priorities at once • Discreet and trustworthy with confidential information • A natural problem solver who doesn't need to be told about every little detail • Comfortable communicating with employees, vendors, executives, and outside professionals • Proficient with technology and interested in finding smarter ways to work • Able to work independently while knowing when to ask questions • Someone who takes pride in being the person others can count on EXPERIENCE Previous experience in executive assistance, office management, operations, human resources, dealership administration, or a similar leadership-support role is preferred. Automotive/dealership experience is a strong plus, particularly experience with compliance, licensing, HR, vendors, or dealership operations. A Bachelor's degree is preferred, but experience, maturity, judgment, and proven ability to perform at a high level are equally important. WHY THIS ROLE? This isn't a traditional administrative position. You'll have the opportunity to work directly alongside executive leadership, see how a business operates at a high level, and play an important role in keeping the organization organized, efficient, and moving forward. If you're someone who anticipates needs, follows through, solves problems, and can be trusted with the details that matter, we'd like to meet you. Bring your organization, initiative, and good judgment. We'll give you the opportunity to make an impact.
