Overview
We are seeking a highly organized and detail-oriented Vendor Agreement Coordinator to support utility infrastructure and capital project programs. This role will be responsible for managing vendor agreement requests, processing work releases, tracking agreement spend and expiration dates, and coordinating closely with project teams and procurement stakeholders. The Vendor Agreement Coordinator will be process-driven, accountable, and experienced in managing contract or procurement-related workflows in a fast-paced environment.
Responsibilities
Vendor Agreement Administration
- Intake vendor agreement updates and new agreement requests from Gas Project teams.
- Coordinate and process vendor agreement requests through Ariba and related procurement systems.
- Ensure agreement documentation is complete, accurate, and aligned with internal processes and requirements.
- Support creation and maintenance of vendor agreement records and associated tracking logs.
Work Release Processing
- Process job-specific work releases tied to active vendor agreements.
- Coordinate with project teams and procurement stakeholders to ensure timely approvals and execution.
- Track work release status and maintain accurate documentation throughout the lifecycle.
Spend & Expiration Tracking
- Monitor active agreement spend against approved budgets and contract values.
- Track agreement expiration dates and proactively coordinate with project teams regarding renewals, amendments, or closures.
- Develop and maintain reporting dashboards and trackers for agreement status, spend utilization, and upcoming expirations.
- Identify risks, gaps, or process inefficiencies and recommend improvements.
Process Improvement & Stakeholder Coordination
- Collaborate with Gas Project teams, Supply Management, and Procurement teams to improve alignment and workflow efficiency.
- Support standardization and continuous improvement initiatives related to vendor agreement management processes.
- Participate in process documentation updates, reporting enhancements, and workflow optimization efforts.
Qualifications
- Bachelor’s degree in Business, Supply Chain, Project Management, Finance, or related field preferred.
- 3+ years of experience in contract administration, procurement support, vendor management, project coordination, or related functions.
- Strong attention to detail and organizational skills.
- Experience working with procurement or ERP systems such as Ariba and SAP preferred.
- Strong analytical and reporting skills with proficiency in Microsoft Excel.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong communication and stakeholder coordination skills.
- Self-driven and accountable for quality and accuracy of deliverables.
Preferred
- Experience supporting utility, infrastructure, engineering, construction, or capital project environments.
- Familiarity with vendor agreement lifecycle management and procurement workflows.
- Experience tracking budgets, contract spend, and expiration management.

Wage Data Per State Requirements
Pay range for this position is $38.00-$48.00/hr. The starting pay will be commensurate with skill, education, experience, and working environment.
