The Vaccine and Clinical Operations Supervisor is a clinical operations leader responsible for the day-to-day oversight, coordination, and quality assurance of mass clinic operations within the Immunizations Program. Reporting directly to the Director of MHC/SH/AM/ Immunizations/Clinical Operations, this role serves as the primary operational point of contact for all clinic activities across sites, directing a multidisciplinary team that includes RNs, clinical leads, patient navigators, and administrative leads.

This is a 12-month fixed duration position designed to establish operational infrastructure, standardize workflows, and build lasting programmatic capability. The role is accountable for service delivery excellence, staff performance, regulatory compliance, and continuous operational improvement.

The supervisor will also provide direct nursing care in multiple ambulatory settings when needed and be full cross-trained to day-to-day Immunizations and Pedi Immunizations functions. In addition, this role will also support per diem 'float' pool oversight where necessary.

Additional Responsibilities include:

• Mass Clinic Operations Oversight - Provide daily operational oversight for all mass vaccination clinic sites, ensuring smooth patient flow, adherence to schedules, and achievement of throughput targets.
• Workforce Leadership & Staffing - Participate in the full hiring lifecycle: position development, candidate screening, interviewing, selection, and offer coordination. Lead new employee onboarding, role-specific orientation, and structured training programs for all program staff.
• Workflow Design & Standard Operating Procedures - Design, document, and maintain Standard Operating Procedures (SOPs) for all core clinic functions including patient intake, vaccine administration, documentation, and discharge.
• Vaccine Supply Chain & Cold Chain Management - Oversee vaccine inventory management including ordering, receipt, storage, and redistribution across clinic sites. Ensure cold chain compliance in accordance with CDC, VFC (Vaccines for Children), and state immunization program requirements.
• Service Recovery & Quality Assurance - Own the end-to-end service recovery process for all patient complaints, clinical concerns, and operational failures.
• Regulatory Compliance & Documentation -Ensure clinic operations comply with all applicable federal, state, and local immunization program regulations and accreditation standards. Maintain complete and accurate program documentation including training records, competency assessments, temperature logs, incident reports, and vaccination records.
• Communication & Program Coordination - Serve as the primary operational liaison between frontline clinic staff and the Director of immunizations/ Operations.

This is a 12-Month Fixed Duration Position

Schedule: Full-time, 37.50 hours; generally scheduled M-F, between 8:30-5:00; Flexible schedule. Occasional early mornings, evenings, weekends, holidays/recess periods may also be required. Expanded hours and Saturdays may be required during flu clinic period.

Required Skills and Abilities

1. Strong clinical knowledge of immunization science, vaccine safety, and administration best practices. Experience in immunization programs, ambulatory care, public health, or mass clinic operations.

2. Exceptional organizational and prioritization skills with the ability to manage multiple operational demands simultaneously. Effective leadership presence with demonstrated ability to direct, motivate, and develop frontline staff. 3. Demonstrated experience managing multidisciplinary clinical teams in a dynamic, high-volume environment

4. Strong verbal and written communication skills; ability to communicate effectively across all organizational levels.

5. Analytical approach to problem-solving with capacity for real-time operational decision-making.

6. Proficiency in electronic health record systems (EHR), immunization registry platforms, and Microsoft Office Suite.

7. Commitment to health equity, culturally responsive care, and community-centered service delivery.

Preferred Skills and Abilities

Minimum 3 years of clinical nursing experience, with at least 1 year in a supervisory, charge, or lead nursing role. Master of Science in Nursing (MSN) or Advanced Practice Registered Nurse (APRN) credential. Graduate preparation in nursing leadership, healthcare administration, or public health. Experience with VFC program operations, vaccine cold chain management, and state immunization registry systems. Prior experience in workflow design, SOP development, or process improvement. Familiarity with Joint Commission, CMS, or public health regulatory frameworks.

Principal Responsibilities

1. Performs physical assessments of patients, including triage duties and advises on treatment or course of action by having a thorough knowledge of nursing care standards and principles. 2. Identifies and evaluates nursing services problems and develops and implements appropriate programs and services, including assessing staffing needs and arranging coverage as needed. 3. Develops, implements, and manages nursing care plans in collaboration with physicians. 4. Instructs patients and families in proper treatment and advises patients on health maintenance and disease prevention. 5. Provides leadership, guidance, direction to clinical staff, and collaborates with nursing at all levels. 6. Determines standards for quality assurance and infection control procedures; trains staff in universal and isolation precautions in the area of infection control. 7. Performs diagnostic and therapeutic measures in collaboration with physicians. 8. Evaluates the quality and effectiveness of nursing practice and nursing services. 9. Records patients' medical histories and symptoms, performs diagnostic tests and analyzes results, operates medical machinery, administers treatment and medications, and coordinates with patient follow-up and rehabilitation; assures all procedures for maintaining patient confidentiality are maintained per HIPAA guidelines.

Required Education and Experience

Bachelor's Degree in Nursing. Two years experience or an equivalent combination of education and experience.

Required License(s) or Certification(s)

Licensure as Registered Nurse in the State of Connecticut or Connecticut license eligible. Current CPR certification.
