Full Job Description
The Talent Success Program & Operations Lead will manage the operational backbone of Talent Success - keeping programs, vendors, contracts, timelines, budgets, systems, and stakeholder routines running with discipline and clarity.

This is a manager-level operations role for someone who is highly organized, structured, practical, and comfortable managing many moving pieces across Talent Success. The role will support the delivery of core Talent Success work across performance, onboarding, coaching, learning, leadership development, skills, and team effectiveness.

In 2026, Talent Success is evolving toward a more product-led, AI-augmented way of working. This role will help make that evolution real by strengthening the backend operations, simplifying manual processes, improving vendor and contract workflows, and partnering with AI workflow builder roles to identify where routine work can be automated or made easier.

This person does not need to be the strategy owner. They need to be the person who makes the operating system work.

What This Role Will Own
  • Manage day-to-day Talent Success operations across program workflows, vendor processes, contracts, budgets, intake, documentation, and team routines.
  • Own the backend operating rhythm for Talent Success, including status tracking, recurring meetings, action follow-ups, intake reviews, and program coordination.
  • Coordinate vendor and contract processes, including SOW tracking, purchase orders, renewals, invoice follow-up, procurement steps, and budget visibility.
  • Support vendor relationships for coaching, leadership development, learning, assessments, team effectiveness, and other Talent Success offerings.
  • Maintain clear trackers, dashboards, calendars, documentation, decision logs, and workback plans so the team has one source of truth.
  • Partner with Talent Success product owners to keep key deliverables on track across performance, onboarding, coaching, learning, leadership, teaming, and skills.
  • Help manage stakeholder follow-ups across PBPs, procurement, finance, ITSS, vendors, program owners, and internal Talent Success team members.
  • Support the team's annual and quarterly planning cycles by organizing inputs, timelines, milestones, dependencies, and operational needs.
  • Improve how work gets done by identifying process pain points, manual handoffs, duplicated work, and opportunities for AI-enabled workflow support.
  • Partner with AI workflow builder / agentic talent roles to test practical improvements such as templates, automations, intake flows, prompt libraries, and self-service resources.
  • Help ensure Talent Success programs are delivered with consistency, quality, and operational discipline.
  • Support communications, logistics, and coordination for key Talent Success moments when needed.
  • What Success Looks Like
  • Talent Success programs run with fewer dropped balls, fewer manual fire drills, and clearer ownership.
  • Vendor and contract workflows are visible, organized, and proactively managed.
  • Program owners have the operational support they need to deliver without constantly chasing logistics.
  • Stakeholders know where work stands, what is needed from them, and when decisions or inputs are due.
  • Team routines are useful, tight, and action-oriented.
  • Budget, SOW, invoice, and procurement steps are easier to track and less dependent on individual memory.
  • The team has reusable templates, trackers, intake processes, and documentation that reduce rework.
  • Operational processes become easier, cleaner, and more AI-enabled over time.
  • Ideal Background
  • Experience in HR operations, talent operations, program coordination, vendor management, learning operations, people operations, procurement coordination, or business operations.
  • Experience managing vendors, contracts, SOWs, invoices, purchase orders, budgets, or procurement workflows.
  • Strong project and program coordination skills, especially across multiple stakeholders and competing timelines.
  • Comfort working in HR, Talent, Learning, Leadership Development, Performance, Coaching, or People team environments.
  • Strong attention to detail and ability to create structure in fast-moving work.
  • Experience with tools such as Workday, Monday.com, Airtable, Google Workspace, Slack, procurement systems, learning platforms, coaching platforms, or similar tools.
  • Comfort using AI tools to simplify work, draft communications, summarize inputs, organize information, or improve operational processes.

Core Capabilities
  • Operational discipline
  • Vendor and contract coordination
  • Program tracking
  • Stakeholder follow-through
  • Budget and invoice tracking
  • Process improvement
  • Documentation and knowledge management
  • Meeting rhythm and action management
  • Calendar and milestone planning
  • Tool and system fluency
  • Strong written communication
  • Detail orientation
  • Practical AI-enabled ways of working
  • Comfort working across ambiguity without needing everything to be perfect
  • What This Role Is Not
  • This is not a chief of staff role.
  • This is not a senior strategy role.
  • This is not a director-level transformation role.
  • This is not just an administrative coordinator role.
  • This is an operations lead role. The person should be able to run the backend, manage the details, keep stakeholders aligned, improve the process, and help Talent Success work in a cleaner, faster, more scalable way.

Strong Candidate Profile

The strongest candidate will be someone who brings structure, calm, and follow-through. They know how to manage vendors, contracts, timelines, stakeholders, and recurring operating routines without making the work feel heavier than it needs to be.

They should be comfortable with the reality of Talent Success work: some things are strategic, some things are messy, some things are urgent, and a lot depends on strong operational execution. They should be able to keep the trains running while also spotting smarter ways to run the railroad.

Remote roles are not eligible for U.S. visa sponsorship.
