POSITION SUMMARY: This position plays a key role in supporting day - to - day operations by overseeing communications, coordinating calendars and meetings, maintaining both electronic and physical records, and preparing accurate and timely documents. The role also assists with budgeting, procurement processes, and departmental project activities. Additionally, this position provides essential office support, including supply management and general administrative assistance. Success in this role requires exceptional organizational, communication, and multitasking abilities, as well as proficiency in Office 365 and related digital tools. Prior administrative experience is strongly preferred.
RESPONSIBILITIES: • Serve as a primary point of contact for incoming calls, emails, correspondence, and inquiries, providing timely, professional, and customer - focused responses.
• Prepare, review, and distribute high-quality memos, reports, presentations, and other documents.
• Manage calendars, schedule and coordinate meetings and appointments, and assist with agendas, logistics, and preparation materials.
• Develop and maintain well-organized electronic and physical filing systems to ensure efficient information retrieval.
• Perform data entry, maintain tracking tools, and support the development of regular and ad hoc reports.
• Coordinate training logistics, travel arrangements, and staff scheduling to support departmental operations.
• Monitor administrative workflows, ensuring adherence to departmental guidelines, procedures, and compliance standards.
• Support project coordination, including timelines, follow-up activities, and documentation.
• Provide comprehensive office support, including managing supplies, assisting staff, and maintaining smooth day - to - day operations.
EDUCATION AND EXPERIENCE: Assistant Transit Management Analyst I and II: - A master's degree from an accredited college or university in business administration,
public administration, public policy, engineering, engineering technology, economics,
architecture, mathematics, physics, computer science, finance, accounting,
transportation planning, industrial psychology, urban planning/studies, human resources management, labor relations, operations research, security management
or in a related area, or
- A baccalaureate degree from an accredited college or university and two years of
satisfactory full-time professional experience working in budget administration,
accounting, economic or financial administration, engineering, in management or
methods of analysis, operations research, organization research or program
evaluation, personnel or public administration, staff development, employment
program planning or administration, security management; or general administration.
Associate Transit Management Analyst: - A master's degree from an accredited college or university in business
administration, public administration, public policy, engineering, engineering
technology, economics, architecture, mathematics, physics, computer science,
finance, accounting, transportation planning, industrial psychology, urban
planning/studies, human resources management, labor relations, operations
research, security management or in a related area, and one year of full - time
satisfactory professional experience working in budget administration, accounting,
economic or financial administration, engineering, in management or methods
analysis, operations research, organizational research or program evaluation,
personnel or public administration, staff development, employment program
planning or administration, security management; or general administration; or
- A baccalaureate degree from an accredited college or university; and three years
of full-time satisfactory experience as described in "1" above.
DESIRED SKILLS: • Strong organizational, communication, and multitasking abilities.
• Demonstrated ability to manage confidential information with discretion.
• Proficient in Office 365 (Outlook, Word, Excel, PowerPoint), SharePoint, and related software.
• Detail-oriented, dependable, and able to work both independently and collaboratively.
• Prior administrative experience preferred.
