As the Talent Experience Shared Services Manager, you will oversee the end-to-end infrastructure that powers executive searches, ensuring every search is executed with precision, consistency, and an exceptional candidate experience. This role serves as the central hub for executive search operations, driving complex scheduling, stakeholder coordination, process excellence, and continuous improvement while supporting high-profile leadership hiring across the organization.

Position Summary:

The Talent Experience Shared Services Manager serves as the operational hub of the organization's executive search function. This role owns the end-to-end process infrastructure for all executive-level searches, ensuring every search is treated as a structured, managed event with clear accountability, consistent candidate experience, and disciplined coordination across internal and external stakeholders.

Position Key Accountabilities:
  • Search Activation: Treats every executive search as a structured, managed event with a defined kick-off, documented workplan, milestone checkpoints, and a formal close. Partners with the Recruiter at search activation to establish the timeline, logistics plan, and operational structure for each search. Owns the operations surrounding the search firm engagement to include coordinating materials, timelines, deliverable tracking, and administrative follow-through. Anticipates operational needs at each stage of the search and address them proactively.
  • Relationships & Stakeholder Experience: Owns the operational layer of hiring team and search committee engagement by supporting the creating of preparation materials, interview guides, candidate summaries, meeting logistics, and any follow-up documentation. Oversees coordination of search event meeting logistics to include scheduling, agendas, materials, and post-meeting documentation while the Recruiter manages committee relationships and decision-making conversations. Ensures all interviewers are operationally prepared before every candidate conversation with the appropriate informational materials and a clear documented understanding of logistics. Responsible for overseeing the operations of candidate communications, preparation materials, itineraries, travel logistics, and post-interview follow-up in close coordination with the Recruiter.
  • Search Event Management: Directly manages administrative personnel by providing clear direction on priorities, communication standards, and logistics execution across all active searches. Owns the end-to-end interview scheduling process to include candidate availability, interviewer availability, room reservations, virtual meeting setup, and day-of logistics. Ensures that scheduling for search committee searches account for the coordination complexity of multiple senior stakeholders with heavily managed calendars. Owns the operational and experiential layer of candidate engagement, ensuring every executive-level candidate encounters a process that feels prepared, respectful of their time, and reflective of an unreasonably positive candidate experience. Serves as the escalation point for any scheduling conflicts, last-minute changes, or logistics issues that arise during active searches.
  • Operational Infrastructure: Provides administrative function oversight across all executive searches to support status documentation, search tracking, candidate records, logistics support, and reporting. Maintains the ATS and ensure accurate, timely data entry for all executive-level searches from activation through close. Produces regular search status reports for the AVP of Talent Experience, Talent Experience Managers, and relevant stakeholders. Establishes scheduling standards and templates that create consistent, professional experience regardless of the search or recruiter involved. Ensures every search closes properly with documentation, debrief capture, and process notes that improve future searches.
  • Process, Standards & Consistency: Serves as the keeper of quality and consistency across all executive searches. Owns and continuously improves the standard operating procedures, templates, process guides, and tools used across the executive search function. Identifies gaps, inconsistencies, or friction points in the executive search process and bring forward recommendations for improvement. Supports onboarding of Talent Experience staff to ensure shared understanding of the Talent Experience Shared Services structure, operational model, and how to partner effectively within it. Builds and maintains the tools, checklists, and resources that make it easy for every search to meet the same high standard.
  • Manages Human Resources activities of department in regards to: recruiting and selection, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.

Minimum Education:
Bachelor's Degree in human resource, communications, business, or related field required May substitute required education with equivalent years of experience beyond the minimum experience requirement.
Minimum Experience:
5 years Experience in recruiting operations, executive search coordination, talent acquisition, event management or a closely related field required 1 year Experience in a healthcare or academic healthcare environment preferred
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
Residency Requirement:

Employees must permanently reside and work in the State of Texas.
