Full Job Description
What You'll Do:

The Talent Acquisition Operations Specialist supports and optimizes our recruiting function. This solutions-oriented role serves as the operational backbone of Talent Acquisition, partnering closely with recruiters, hiring managers, candidates, and cross-functional teams to deliver an exceptional hiring experience. The ideal candidate is passionate about operational excellence, recruiting technology, process improvement, and leveraging AI-enabled tools to create scalable recruiting practices within a fast-paced biotechnology environment.

Required location: Waltham, MA (hub-based, onsite 3-4 days per week)

Responsibilities:
  • Manage complex interview scheduling across multiple teams, time zones, and leadership levels
  • Serve as the primary point of contact for candidates throughout the interview process, delivering a best-in-class candidate experience
  • Coordinate interview logistics, confirmations, panel scheduling, and follow-up communications
  • Ensure candidate movement through recruiting stages is accurate, timely, and well communicated
  • Partner with recruiters to build candidate pipelines through proactive sourcing and talent market research
  • Maintain data integrity within Greenhouse and other recruiting systems
  • Serve as a primary resource for recruiting process guidance and operational support
  • Support recruiting operations by ensuring efficient workflows and consistent hiring practices
  • Maintain and optimize the Applicant Tracking System (Greenhouse) and related recruiting technologies
  • Serve as a subject matter expert for Greenhouse, supporting workflow optimization, and reporting
  • Identify opportunities to automate manual processes and improve recruiting efficiency
  • Evaluate and leverage AI-enabled recruiting tools to improve sourcing, scheduling, reporting, and candidate communications
  • Document recruiting processes and support continuous improvement initiatives
  • Provide training and support to recruiters and hiring managers on recruiting systems and processes as needed
  • Other duties as assigned


Required Qualifications:
  • 5+ years supporting Talent Acquisition, Recruiting Operations, Recruiting Coordination, or a related function
  • Experience with Greenhouse Recruiting
  • Experience coordinating complex interviews in a fast-paced environment
  • Experience using LinkedIn Recruiter or comparable sourcing platforms
  • Strong analytical, organizational, and communication skills
  • Advanced proficiency with Microsoft Office, particularly Excel and PowerPoint
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment


Preferred Qualifications:
  • Biotechnology or pharmaceutical recruiting experience
  • Knowledge of AI-enabled recruiting technologies
  • Experience improving recruiting processes and systems and creating scalable processes
  • Experience with recruiting analytics, dashboards, and workforce reporting
  • Familiarity with ADP Workforce Now and talent management systems


Education:
  • Bachelor's degree preferred


Salary Range

$98,000-$120,000 USD

For Full Time Roles: This range represents the company's good-faith estimate of the salary at the time of posting.
