Role Overview

The T&E and Insurance Manager is responsible for overseeing all aspects of the company's travel and expense management program and managing the regional insurance portfolio. This role ensures compliance with company policies, optimizes processes for efficiency, and provides strategic guidance on effective T&E program management and financial control. The Manager will lead a team and act as a key point of contact for internal stakeholders and external vendors.

Responsibilities

Travel & Expense Management:
  • Participate in the development, implementation, and maintenance of T&E policies and procedures, ensuring alignment with company objectives and regulatory requirements
  • Manage the corporate T&E platform (e.g., Concur, SAP, etc.), including configuration, user support, and system enhancements
  • Oversee the end-to-end T&E process, from expense submission and approval to reimbursement and reporting
  • Review past due expense submissions and personal charge reporting on a monthly basis
  • Conduct regular audits of expense reports to ensure compliance, identify discrepancies, and prevent fraud.
  • Analyze T&E data to identify trends, cost-saving opportunities, and areas for process improvement.
  • Lease the semi-annual review of internal controls for T&E and Corporate Card processes
  • Manage relationships with travel agencies, corporate credit card providers, and other T&E vendors.
  • Provide training and support to employees on T&E policies and system usage.
  • Prepare T&E reports highlighting key metrics and recommendations.
  • Participate in internal audits and ad-hoc projects as necessary


Corporate Credit Cards:
  • Oversee the management of the regional credit card program
  • Creating new credit card accounts for eligible employees
  • Processing account closures for terminated employees
  • Monitor credit limits
  • Point of contact regarding credit card inquiries
  • Monthly credit card reporting for active employees


Insurance:
  • Conduct regular reviews of insurance policies to ensure adequate coverage for current and emerging risks
  • Maintain Certificate Of Insurance (COI) template
  • Work with insurance broker to fulfill COI requests
  • Facilitate the annual insurance renewal process, including data collection
  • Oversee the claims management process, acting as liaison between Group, internal departments, and insurers to ensure timely and effective resolution.
  • Maintain accurate records of all insurance policies, certificates, and claims documentation
  • Process insurance invoices as necessary


Team Leadership & Development:
  • Directly supervise and mentor T&E and insurance staff
  • Set clear performance objectives, conduct regular performance reviews, and provide constructive feedback
  • Foster a collaborative and high-performing team environment
  • Delegate tasks effectively and ensure workload is managed efficiently
  • Support the professional development of the team member through coaching and training opportunities
