Overview

The Supervisor - Scheduling is responsible for daily schedule processing and provides direct interaction with hospital OR scheduling and/or management, as directed. This role also maintains positive relationships with all facilities partnered with USAP, ensuring timely communication and efficient resolution of issues to support seamless operations.

At this time, US Anesthesia Partners does not hire candidates residing in California, Hawaii, or Alaska.

The base pay estimate for this role is $60,800 - $103,400 annually. The final offer will depend on the skills, experience, and qualifications of the selected candidate. This range is for base pay only and does not include bonuses or other compensation. This position is eligible for an annual bonus. Bonuses are not guaranteed and are awarded based on company and individual performance.

Job Highlights

ESSENTIAL DUTIES AND RESPONSIBILITIES: (The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation)

  • Maintains daily contact with all levels of personnel to include physicians, division managers, and a multitude of external contacts.
  • Produces and maintains anesthetist hours and daily peel-off.
    • Proactively recognizes time gaps.
    • Questions time inconsistencies.
    • Monitors and updates anesthetist start times as needed.
    • Takes initiative to resolve issues without direction.
    • Independently assesses the schedule, anticipates potential issues, and communicates with providers as needed.
  • Produces and maintains the daily schedule for all campuses and off-site locations.
    • Confirms all schedules are entered into QGenda for off-site locations.
    • Communicates with off-site locations to ensure all schedules are current.
    • Confirms room counts are accurate for all off-sites on a weekly basis.
    • Compiles and distributes the next day schedule to the appropriate scheduling team.
    • Prepares weekly overviews of all off-site locations for staffing purposes.
  • Monitors future man-power needs by vigilant review of vacation, call, and projected needs.
  • Maintains cross coverage data.
  • Ensures that all in-house schedules are completed daily in a timely and accurate manner.
  • Provides weekly, monthly, or quarterly reports as requested.
  • Performs other duties as assigned.


Qualifications

KNOWLEDGE/SKILLS/ABILITIES (KSAs):
  • Associate's degree required; bachelor's degree preferred.
  • 2-3 years of hands-on scheduling experience in a hospital/surgery center or high-volume surgery practice, or an equivalent combination of education and experience required. Previous lead or senior scheduling level experience preferred.
  • Prior experience in anesthesia scheduling preferred.
  • Certification in medical terminology is helpful.
  • Working knowledge of scheduling, general physician practices, hospital operating room workflows, computers, and basic programs such as MS Excel and Word.
  • Demonstrated ability to collaborate cooperatively with physicians, all staff members, and external customers.
  • Strong problem-solving skills.
  • Strong attention to detail.
