Full Job Description
The Sr. Program and Administrative Specialist is the operational engine of this team. In a startup of this size, this senior specialist supports running and coordination for all the programs, events, and infrastructure that turn RIC's strategy into delivery, and brings the judgment and polish to represent RIC credibly with C-suite leaders, external partners, and senior stakeholders. This person supports the team's day-to-day operations, including keeping the Head of RIC organized and effective.

Discover your role:

Program & Event Execution
  • Translate RIC's content and vision into flawless execution, owning end-to-end logistics for signature programs -from the TEDxRegeneron Innovation Summit and Advisory Council meetings to academic partnership convenings and global forums - managing everything from venue and AV to speaker logistics and run-of-show.
  • Partner with experience design agencies on production timelines, ensuring deliverables arrive on schedule and to specifications.


Operations & Team Infrastructure
  • Own vendor relationships end-to-end - from contracting and procurement to ongoing relationship management - and partner with the Program Manager on budget tracking and real-time spend monitoring against plan.
  • Build and maintain RIC's operating backbone, from onboarding new team members to managing brand-consistent materials and shared systems.


Stakeholder & Partner Coordination
  • Act as the first point of contact for RIC's internal and external partners, ensuring seamless coordination across senior stakeholders and no commitment falls through the cracks.
  • Manage logistics and communications for Advisory Council meetings and external partner engagements supporting preparing materials, aligning schedules across senior stakeholders, and ensuring a seamless participant experience.


Leadership & Executive Support
  • Serve as a trusted operating partner to the Head of RIC, managing calendar and travel needs to protect her strategic time and ensure she enters every engagement prepared.

Qualifications:
  • Bachelor's degree required. Administrative support, communications, business, programs and event management, or a related field are well-suited to this role.
  • 5-8 years in executive assistance, program coordination, operations, event management, and executive support with demonstrated experience managing complex, multi-stakeholder programs and enabling a senior leader.
  • Proven program and event execution: coordinating logistics, vendor relationships, and attendee communications for convenings of 100+ participants.
  • Experience with vendor onboarding and procurement in a corporate environment contract routing, purchase-order management, and accounts-payable processes.
  • Budget-tracking experience: comfortable maintaining a real-time spend tracker, flagging variances, and coordinating with finance on purchase orders and reimbursements.
  • Experience enabling a senior leader (SVP or C-suite) with schedule coordination, and T&E support as one part of a broader operational role, in a demanding, high-discretion environment.
  • Proficiency with productivity and AI tools preferred (Copilot, Claude, or equivalent); comfort with expense-management platforms (Concur or equivalent).
