POSITION SUMMARY:The Senior Fuel Tax Accountant is responsible for supporting the Company's federal, state, provincial, county, and local motor fuel tax compliance programs. This role serves as a key contributor to fuel tax reporting, tax technology initiatives, compliance process improvement, audit management, and financial reporting activities. The position partners with Fuel Accounting, Operations, IT, Finance, offshore support teams, and third-party vendors to ensure accurate tax reporting, timely payments, strong internal controls, and compliance with evolving fuel tax regulations. This role also provides oversight and guidance to offshore resources and supports continuous improvement initiatives through automation, data analytics, and system enhancements.
ESSENTIAL JOB FUNCTIONS:- Review, prepare, and submit federal, state, provincial, county, and local motor fuel tax returns, related schedules, and related reports.
- Ensure timely filing of returns and remittance of tax payments across applicable jurisdictions.
- Oversee fuel tax compliance activities performed by offshore support teams and provide technical guidance as needed.
- Review tax calculations, adjustments, credits, refunds, environmental fees, and allowances to ensure accuracy and compliance.
- Prepare and review monthly fuel tax accruals, journal entries, and general ledger account reconciliations.
- Analyze fuel tax liabilities, research variances, and identify unusual trends or exceptions requiring follow-up.
- Partner with Fuel Accounting and Finance teams to support accurate month-end, quarter-end, and year-end close activities.
- Utilize ERP, fuel management, and tax software systems to validate reporting accuracy and support compliance workflows.
- Analyze large fuel transaction data sets to identify reporting exceptions, compliance risks, and process improvement opportunities.
- Support enhancements to fuel tax reporting processes through automation, reporting tools, data validation routines, and system improvements.
- Participate in testing, implementation, and optimization of tax technology platforms, integrations, and reporting processes.
- Manage fuel tax audits, refund claims, regulatory inquiries, and jurisdictional notices, including collection and submission of supporting documentation.
- Research complex fuel tax matters and prepare technical analyses, recommendations, and supportable conclusions.
- Evaluate compliance risks and recommend corrective actions, process changes, or control improvements.
- Maintain accounting controls by following SOX procedures, tax governance standards, and internal control requirements.
- Respond to tax questions from internal and external stakeholders by researching and interpreting federal, state, provincial, county, and local tax regulations.
- Develop and maintain process documentation, standard operating procedures, training materials, and review checklists.
- Mentor and support junior team members and offshore resources by providing guidance, feedback, and technical support.
- Collaborate with cross-functional stakeholders to resolve operational, accounting, system, and compliance issues.
- Support strategic indirect tax projects and other fuel tax initiatives as assigned.
QUALIFICATIONS- Bachelor's degree in Accounting, Finance, Tax, Business, or related field preferred. Other combinations of experience and education may be considered.
- Three or more years of motor fuel tax, excise tax, indirect tax, or related tax experience preferred.
- Experience with multi-jurisdictional fuel tax compliance, return preparation, payments, audits, or notices.
- Advanced Excel skills and comfort working with large data sets, reconciliations, and reporting tools.
- Experience with Avalara, PDI, SAP, Oracle, Power Query, Power BI, or similar ERP, tax, or reporting platforms preferred.
- Understanding of internal controls, SOX requirements, and financial close processes.
- Strong analytical, problem-solving, organizational, and written communication skills.
- Ability to manage multiple priorities, meet deadlines, and work effectively across departments and external partners.
- Demonstrated ability to support process improvement, automation, and tax technology initiatives.
- Strong team player with the ability to mentor junior team members and offshore resources.
