Department Overview

The School of Dentistry shares the mission of the Oregon Health & Science University to provide educational programs, basic and clinical research, and high quality care and community programs. We strive to foster an environment of mutual respect where the free exchange of ideas can flourish. The dental school prepares graduates in general dentistry and the dental specialties to deliver compassionate and ethical oro-facial health care.

Function/Duties of Position

This position provides high-level executive, operational, and strategic support to the School of Dentistry, Office of the Dean. The position integrates executive coordination, communications, program and event management, and project management to ensure effective operations and engagement across internal and external shareholders. Responsibilities include managing complex executive workflows, planning and advising about strategic programming and events, supporting donor and alumni relations in partnership with the OHSU Foundation, and ensuring alignment, communication, and execution of key projects. The role also serves as a central connector across leadership, departments, and external partners, anticipating needs and enhancing overall organizational effectiveness.

This role requires exceptional tact, diplomacy, organizational, communication, and problem-solving skills, as well as the ability to manage multiple priorities, maintain confidentiality, and collaborate effectively with a wide range of internal and external shareholders in a fast-paced, dynamic environment.

Required Qualifications

  • Bachelor's degree
  • At least 5 years of work providing direct administrative support for a senior-level executive, including senior associate dean, Dean, CFO, COO, VP, President, Executive Director, or equivalent executive position
  • Experience in having access to and appropriately handling confidential and sensitive information
  • Experience being a highly visible representative and liaison for a department or organization
  • Excellent communication and interpersonal skills with diverse groups; students, staff, faculty, and senior leaders
  • Demonstrated ability to handle sensitive and confidential information in a professional manner with integrity
  • Excellent organizational skills
  • Ability to be self-directed and set own work priorities
  • Ability to work effectively as a team member
  • Excellent forecasting and problem-solving skills
  • Excellent attention to detail; successful demonstration of experience working in detail-oriented capacity with proven record of accuracy and precision

  • Demonstrated proficiency and confidence with administrative office technologies, including but not limited to intermediate to advanced skills in Microsoft 365 applications (e.g., Outlook, Word, Excel, Teams, Planner, PowerPoint) and cloud-based storage
  • Proficiency and competence with AI tools, including Microsoft Copilot, for administrative workflows
  • Work schedule varies due to Dean's schedule & meetings that may be scheduled early in the day or past 5 pm
