Full Job Description
Job Overview: As a Veeva Vault Application Specialist, you will be responsible for the operation, maintenance, and optimization of Veeva PromoMats and MedComms platforms to support both Medical and Commercial business teams. You will engage with key stakeholders to ensure the seamless integration and governance of these platforms, focusing on content review, approvals, and workflows while optimizing the user experience. You will play a pivotal role in enhancing Digital Asset Management (DAM) capabilities, ensuring compliance, efficiency, and scalability of the solutions deployed.

Key Responsibilities:
  • Operate, maintain, and optimize Veeva PromoMats and MedComms platforms in alignment with the Veeva product roadmap, GIT operating model, and business needs for both Medical and Commercial functions.
  • Collaborate with business stakeholders to define functional requirements for content review and approval processes, with a focus on medical, legal, and regulatory review, ensuring simplicity, efficiency, and compliance.
  • Share in the governance of platforms, ensuring that all changes are properly vetted and approved by local, regional, and global stakeholders across Medical and Commercial teams.
  • Continuously engage with project coordinators, facilitating content review and approval processes, addressing production issues, and identifying areas for improvement to discuss with Global Product Owners and stakeholders.
  • Define and optimize workflows for content review and approval, ensuring efficient deployment and ongoing maintenance across global, regional, and local markets, including Europe and the US.
  • Build new Digital Asset Management (DAM) capabilities, allowing for global asset approval, localization, cross-market asset sharing, source file management, and promotion of materials to both internal and external teams.
  • Lead difficult conversations with stakeholders around prioritization and solutioning, leveraging data points, best practices, and effective communication to guide decisions and build confidence.
  • Monitor content throughput, identify bottlenecks, and propose solutions to enhance performance and the overall user experience.
  • Lead the administration of Veeva Vault, managing configurations, updates, and optimization of workflows related to PromoMats and MedComms.
  • Research and implement new product features, working closely with business stakeholders on prototypes, pilots, and product enhancements.
  • Ensure compliance with SDLC methodology and governance processes with emphasis on testing and documentation of all releases.
  • Collaborate with stakeholders to document Business Process Mapping, Business Requirements, Functional Requirements, Test Cases, User Guides, and Admin Guides, ensuring clarity and alignment.

Requirements
  • Bachelor's degree in IT or related field is required.
  • 6 years of total experience in digital marketing services with extensive expertise in content approval management and digital asset management (DAM).
  • 2-3 years of direct experience working with Veeva PromoMats and MedComms, managing workflow definitions, implementation, and process optimizations.
  • Proven experience in Digital Asset Management (DAM) processes, particularly in source file meta-tagging, content reuse, and internal/external content promotion.
  • Strong ability to engage with leadership and operational stakeholders, ensuring proper prioritization of requests and governance of platform changes.
  • Experience in leading platform administration for Veeva Vault, focusing on compliance and workflow efficiency.
  • Ability to research and implement new product features, collaborating with business stakeholders for continuous platform improvement.

The estimated salary range for this position is $145-155K. Actual salary determination is dependent on a variety of factors some of which include: experience, qualifications, and geographic location. This position may be eligible for a discretionary annual bonus or an incentive compensation plan (eligibility varies based on role and position level), discretionary stock-based long-term incentives, paid time off, and a comprehensive benefits package.
