Los Gatos, California. - Schedule: Monday through Friday, from 7:00 AM to 4:00 PM, with occasional flexibility to support clinic operating hours
- Compensation: $125,000 - $170,000 per year (commensurate with experience)

In this role, the
Site Supervisor will:
- Provide leadership, management, and direction for the assigned clinic location across all areas of local operations, including staffing, employee supervision, training and development, patient satisfaction, quality assurance, financial integrity of the assigned site, and facility appearance and maintenance
- Directly supervise front office, back office, clinical support, and administrative staff at the assigned location
- Own site-level operating performance, including labor management, productivity, expense control, and contribution to practice financial goals; participate in annual budgeting and monthly business reviews for the assigned site
- Serve as the primary operational partner to the physicians practicing at the assigned site, translating physician and practice priorities into site-level execution
- Implement and maintain workflows, policies, and patient-experience practices at the assigned site in alignment with practice-wide and US Fertility standards
- Monitor patient flow, scheduling capacity, and program operations at the assigned site and implement improvements that increase access, throughput, and patient satisfaction
- Oversee site staffing schedules to ensure appropriate coverage; assist with resolution of scheduling issues
- Support the development and implementation of staff and patient education programs
- Lead recruitment, onboarding, performance management, and coaching for the site team; set goals for staff and motivate the team to accomplish them
- Responsible for oversight of EMR templates for the assigned clinic
- Ensure compliance with Company policies, regulatory requirements, and accreditation standards; partner with Quality and Compliance to address findings and drive corrective action
- Assist with processing and documenting patient and program incidents; actively participate in QA and CQI processes and work with the site team to correct deficiencies and improve processes
- Lead site-level projects and change initiatives, including system implementations, new service lines, and practice growth efforts, and participate in practice-wide initiatives as assigned
- Work in close collaboration with the Executive Director, Clinical Director, and other members of the management team to promote open communication, ensure the delivery of the highest quality care to all patients, and facilitate revenue growth for the Practice
- Serve as the first point of escalation for patient, staff, and operational issues at the site; serve as backup and support to all roles at the site as needed
What You'll BringWe're looking for professionals who bring both technical skill and a deep sense of responsibility to the care experience-individuals who thrive in environments where excellence, empathy, and accountability matter.
Qualifications and Skills Include:- Associate's degree in business administration, healthcare administration, nursing, or other relevant field required; Bachelor's degree preferred. Additional years of relevant experience beyond that required may be substituted for higher education.
- Minimum of three (3) years of progressive healthcare operations experience, including at least one (1) year in a lead or supervisory role; ambulatory, women's health, or fertility experience strongly preferred
- Demonstrated success leading a team and building consistent, efficient day-to-day operations
- Financial acumen and prior experience supporting budget development, interpreting productivity reports, and managing site-level expenses and labor
- Experience partnering directly with physicians in a physician-owned or physician-led practice environment
- Strong computer proficiency, including MS Office Suite; experience with practice management and electronic health record systems preferred
- Ability to lead as part of a multi-disciplinary team and promote team building
- High bias for action and thoroughness, strong judgment, and the ability to cultivate a high level of team synergy
- Ability to travel occasionally to other Bay Area locations as needed
