Full Job Description
We are seeking a Project Manager (PM) to lead the planning, execution, installation, integration, testing, and closeout of a turnkey Audiovisual (AV) and Video Conferencing System modernization project at the Austin Information Center (AITC). The project includes the design and deployment of state-of-the-art AV and collaboration solutions across seven conference and training rooms, including room-combine functionality, Microsoft Teams Rooms integration, WebEx interoperability, and long-term maintenance support. The PM will serve as the primary point of contact between the customer, stakeholders, subcontractors, manufacturers, and installation teams. The successful candidate will ensure project delivery within schedule, budget, quality, security, and performance requirements while managing a four-year warranty and maintenance program. Key Responsibilities Project Leadership and Management • Serve as the single point of accountability for all project activities. • Lead project planning, scheduling, resource allocation, risk management, and execution. • Develop and maintain detailed project schedules, milestones, and deliverables. • Coordinate design, procurement, installation, testing, training, and warranty support activities. • Ensure compliance with contract requirements, technical specifications, and customer expectations. • Conduct regular project status meetings and provide progress reports to stakeholders. • Manage change requests, issue resolution, and escalation processes. Technical Project Oversight • Oversee the design and deployment of turnkey AV and video conferencing solutions for seven conference/training rooms. • Ensure installation of: • 86-inch commercial-grade LED displays • Microsoft Teams Room integrations • WebEx-compatible conferencing systems • PTZ cameras and smart camera technologies • Ceiling microphones and speakers • Touch panel controls • AV racks and credenzas • Network switches and PoE infrastructure • Physical HDMI matrix switching solutions • Coordinate room-combine functionality for Rooms 112A, 112B, and 112C, including automated and manual partition control logic. • Verify integration of Government Furnished Equipment (GFE), including HP G9 PlusPCs, Poly Trio C60 conference phones, and podium equipment. Schedule and Deliverables Management • Ensure successful completion of: • Rooms 103C, 112A, 112B, and 112C within 60 business days. • Rooms 316, 326, and 360 within 240 business days. • Monitor project milestones and ensure timely delivery of equipment and services. • Coordinate all deliveries, installations, and site activities with Government Points of Contact (POCs). Stakeholder and Customer Management • Serve as the principal liaison between the contractor and Government representatives. • Coordinate subcontractors, vendors, manufacturers, engineers, and installation teams. • Maintain effective communication with project stakeholders throughout the project lifecycle. • Facilitate customer acceptance testing and final project approvals. Quality Assurance and Compliance • Ensure all equipment is new, commercial off-the-shelf (COTS), TAA-compliant, and meets specified performance requirements. • Verify compliance with applicable building codes, safety standards, and VA requirements. • Ensure proper cable management, equipment labeling, and documentation standards. • Oversee system testing, commissioning, and user acceptance activities. • Ensure AV control systems remain isolated from the customer network as required. Security and Risk Management • Manage personnel security requirements, including Tier 1 fitness determinations and access requirements. • Identify and mitigate project risks affecting schedule, budget, or system performance. • Ensure compliance with federal, VA, and facility security requirements. Documentation and Training • Oversee preparation and delivery of: • Design documentation • System configuration documentation • As-built drawings • Warranty documentation • Operations and maintenance manuals • End-user training materials • Coordinate and manage user training sessions upon project completion. Warranty and Maintenance Oversight • Manage the four-year warranty and maintenance period following Government acceptance. • Coordinate warranty claims, repairs, replacements, updates, and corrective actions. • Ensure all warranty services are provided at no additional cost to the Government. • Track service levels and maintain records of support activities. Required Qualifications Education • Bachelor's degree in Project Management, Engineering, Information Technology, Audio Visual Technology, Construction Management, or related field. • Equivalent professional experience may be substituted for formal education. Experience • Minimum 7 years of project management experience managing technology, AV, telecommunications, IT infrastructure, or systems integration projects. • Minimum 3 years managing enterprise audiovisual or video conferencing deployments. • Experience managing federal government, healthcare, or public-sector technology projects preferred. • Demonstrated xperience coordinating multidisciplinary teams, subcontractors, and vendors.
