Scope of Responsibility- Execution of conferences, trade shows, field events, webinars, executive dinners, and customer programs as set by the Sr Manager Demand Gen and ABM
- Manage event vendors, venues, budgets, contracts, logistics, and deliverables
- Event lead capture, reconciliation, routing, and follow-up
- Build and maintain centralized marketing and events calendar
- Work with Sr Manager Content and Brand to develop content and editorials
- Assist with proposals, website updates, newsletters, and sales materials
- Institutional-knowledge documentation and transfer
- Cross-functional marketing programs and special initiatives
- Administer the Mar-Tech stack to support growth and scale objectives
- Support Chief Transformation Officer in driving AI-enabled productivity and process improvement
Core Responsibilities Conferences & Events
- Lead the end-to-end execution of conferences, trade shows, webinars, executive dinners, roundtables, advisory councils, and other approved AFS events.
- Develop event briefs, budgets, timelines, checklists, staffing plans, and measures of success.
- Serve as the primary contact for conference organizers, venues, hotels, booth vendors, printers, caterers, audiovisual providers, and other event partners.
- Coordinate sponsorships, registrations, contracts, invoices, booth design, signage, collateral, merchandise, shipping, meeting rooms, travel requirements, and onsite logistics.
- Organize internal attendees, booth staffing, customer and prospect meetings, presentations, and executive schedules.
- Manage onsite execution and respond quickly to vendor, technology, shipping, staffing, or scheduling needs.
- Partner with Sales and Demand Generation to create an effective lead-capture and follow-up process for every event.
- Ensure event leads, meeting notes, scanner records, and business cards are consolidated, entered into the appropriate systems, and routed to the right owners.
- Track follow-up so that high-value conversations continue after the event.
- Prepare concise post-event reports covering attendance, meetings, leads, costs, results, and lessons learned.
- Maintain event records, vendor relationships, reusable assets, inventories, and a repeatable event playbook.
- Recommend new ideas that improve attendee engagement, booth traffic, meeting generation, and the overall AFS event experience.
Content & Editorial Support
- Contribute to content development in partnership with Brand and Content, Product Marketing, and marketing leadership.
- Gather source material, historical context, product information, and SME input for blogs, articles, newsletters, customer communications, presentations, event materials, and sales-support content.
- Support first drafts, updates, repurposing, and revisions based on established briefs and priorities.
- Review and edit materials for product accuracy, clarity, consistency, grammar, and alignment with approved messaging.
- Bring valuable legacy product and company knowledge to the content-development process.
- Coordinate SME reviews, approvals, deadlines, and publication.
- Publish approved website and digital-content updates.
- Maintain organized libraries of approved content and reusable assets.
- This role is an important contributor to content quality and production. Brand and Content retains ownership of content strategy, the editorial calendar, brand voice, and primary content creation.
- Institutional Knowledge & Team Enablement
- Serve as a trusted resource on AFS products, customers, terminology, historical programs, existing materials, vendors, and internal stakeholders.
- Help onboard new marketing team members by connecting them with relevant resources, processes, and subject-matter experts.
- Document institutional knowledge so it can be shared and used across the department.
- Help team members understand which content and resources already exist, where to find them, and whether they remain current.
- Support the transition of established programs and responsibilities to new functional owners.
- Help connect AFS's history and expertise with the company's evolving marketing strategy.
- Strengthen collaboration by making information, relationships, and resources easier for the entire team to access.
Marketing Program Operations
- Own and maintain the centralized marketing calendar.
- Provide visibility into marketing priorities, programs, events, deadlines, and key deliverables.
- Track approvals, dependencies, action items, and responsible owners across marketing initiatives.
- Coordinate agendas, materials, and follow-up for marketing meetings.
- Coordinate RFPs, RFIs, proposals, presentations, and related sales materials.
- Maintain organized content, proposal, event, and marketing-asset repositories.
- Provide administrative support within HubSpot, Salesforce, website platforms, and event systems.
- Support campaigns, vendor programs, and special initiatives in partnership with the appropriate functional owner.
- Anticipate execution needs, identify potential bottlenecks, and help the team keep important work moving.
- Recommend templates, processes, and tools that improve efficiency and coordination.
AI-Enabled Productivity
- Use approved AI tools to accelerate research, initial drafts, editing, summarization, and administrative work.
- Review AI-assisted materials for accuracy, confidentiality, product terminology, and editorial quality.
- Identify opportunities to improve repeatable processes through templates, automation, and AI-enabled workflows.
- Help the Marketing team adopt efficient working practices while maintaining AFS's quality standards.
Key Working RelationshipsChief Transformation Officer - Establishes priorities, budgets, and expectations. The specialist translates those priorities into coordinated execution and provides visibility into progress, risks, and results.
Brand and Content - Partners on source material, SME coordination, editing, product-accuracy review, publishing, and content production. Brand and Content owns content strategy, the editorial calendar, brand voice, and primary content creation.
Product Marketing - Partners on product context, SME coordination, presentations, event materials, and sales-support assets. Product Marketing owns positioning, messaging, launches, and sales-enablement strategy.
Demand Generation - Partners on event programs, vendors, campaigns, lists, lead capture, and follow-up. Demand Generation owns campaign strategy, ABM, attribution, funnel performance, and pipeline goals.
Market and Customer Intelligence - Partners on research coordination, customer programs, and production of intelligence-based materials. Market and Customer Intelligence owns VoC, win/loss, product-usage, competitive, and market analysis.
Sales, Product, Customer Success, and Business Solutions - Partners on event participation, proposals, customer engagement, SME input, sales materials, and follow-up.

Qualifications - 5+ years of experience in marketing communications, events, proposals, program coordination, or a related B2B function.
- Experience coordinating conferences, trade shows, webinars, customer programs, or executive events.
- Strong project-management, vendor-management, and organizational skills.
- Strong writing, editing, proofreading, and content-support capabilities.
- Experience working with technical SMEs and translating complex information clearly.
- Experience coordinating RFPs, proposals, presentations, or sales materials.
- Familiarity with websites, HubSpot, Salesforce, event systems, or similar tools.
- Ability to manage multiple programs, deadlines, vendors, and stakeholders simultaneously.
- A proactive approach to identifying needs, solving problems, and improving processes.
- Experience in financial technology, banking, commercial lending, or enterprise software preferred
