Job Description

WHAT DOES A SR PROJECT MANAGER DO?

The Senior Project Manager (SPM) will serve as a pivotal leader on a key MedComm account, driving the internal day-to-day operations and delivery. This role requires a highly proactive self-starter who is comfortable taking full ownership of project management needs and operating independently to move initiatives forward.

This role is strictly MedComm-focused, driving the execution of high-science medical communications deliverables. The SPM will act as the operational engine for a range of scientific initiatives, with a heavy focus on comprehensive medical presentations (slide decks), advisory board materials, symposia content, medical training materials, and disease state education. To ensure flawless execution of these specialized, data-heavy materials, the SPM will partner tightly with the core Account team and the Medical/Scientific team.

  • MedComm Project Leadership: Drive full lifecycle delivery and management of specialized MedComm projects. This includes steering the development of complex medical presentations, advisory board materials, scientific training decks, and other data-heavy deliverables.
  • Proactive Day-to-Day Management: Act as the primary, hands-on PM for the team, proactively anticipating needs, driving next steps, and managing all daily project operations independently.
  • Budget & Burn Oversight: Diligently watch project burn and budgets. Lead the estimation process and provide project budget and staff plan parameters with minimal supervision.
  • Timeline Management: Develop and actively manage project timelines, risk registers, communication plans, and change logs specifically tailored to the rigorous review cycles of medical communications.
  • Cross-Functional Partnership: Work tightly and collaboratively with Account Services and the Medical team to facilitate project workflows and ensure scientific accuracy is maintained throughout routing.
  • Financial Forecasting: In partnership with the Account Director (AD) and Group Project Director (GPD), develop financial forecasts for proactive financial management.
  • Billing & SOWs: Facilitate monthly billing, analysis, and action in partnership with Account and Finance. Assist with the development of annual and project-based SOWs and change orders.
  • Risk Mitigation: Actively work with project stakeholders to identify, evaluate, log, communicate, and mitigate project-level risks.
  • Process Adherence: Ensure all project artifacts are properly stored within enterprise systems (Workfront, etc.) and apply PMO standards across projects.
  • Problem Solving: Resolve conflicts regarding scope, schedule, resources, budget, quality, and communication with minimal oversight.
  • Keeps direct manager informed; asks for help when needed; knows when to escalate issues/concerns to leadership; brings solutions
  • Participates in candidate interviews as needed Effectively senses team morale and understands how to address issues

Qualifications

WHAT ARE WE LOOKING FOR?
  • Bachelor's degree or equivalent education plus professional experience required.
  • Three to five years of experience in a PMO role. Agency experience is required; MedComm, pharmaceutical, or healthcare agency experience is ideal, but not limited to these areas.
  • Self-Starter Mentality: Extremely proactive and capable of taking full ownership of all day-to-day PM operations as a pivotal leader on the account.
  • Complex Deliverable Expertise: Proven experience delivering complex agency projects. While experience with medical communications and high-science materials is ideal, any PM with strong agency experience, a high aptitude for managing data-heavy deliverables (like slide decks), and an understanding of rigorous review processes (such as MLR) will be strongly considered.
  • Financial Acumen: Expert comprehension of project forecasting, reforecasting, and burn analysis/remediation throughout the lifecycle of the project.
  • Excellent scope and change management tracking and adherence.
  • Ability to build trust, negotiate, and influence decision-making specifically with Account leads and Medical/Scientific SMEs.
  • Strong critical thinking and problem-solving skills, with the ability to anticipate, assess, and mitigate risk.
  • Strong sense of ownership, accountability, and decision-making, especially when faced with uncertainty.
  • Experience working with Project Management Information Systems such as Workfront, Smartsheet, or MS Project.
  • Strong understanding of Microsoft Office Suite, specifically Excel and PowerPoint.
