Posting Summary Rutgers, The State University of New Jersey is seeking a Senior Program Coordinator (Confidential) for the Executive Vice President and Chief Administrative Officer. This position reports to the Executive Vice President and Chief Administrative Officer and supports the development, implementation, coordination, and ongoing administration of strategic initiatives related to the University's civil rights functions. Working closely with senior leadership, the Senior Program Coordinator assists with efforts to strengthen the University's civil rights infrastructure, improve coordination across relevant offices and stakeholders, and develop consistent, effective, and accessible processes for addressing civil rights-related matters across the institution.
The position requires independent judgment, strong organizational and analytical skills, and the ability to manage multiple priorities in a complex environment. Responsibilities include project and implementation planning, research and benchmarking, process development and documentation, stakeholder coordination, preparation of reports and briefing materials, and development of tools and resources to support effective program operations.
Among the key duties of the position are the following:
- Coordinates the development, implementation, and ongoing administration of the operational infrastructure within the University's civil rights function.
- Coordinates cross-functional initiatives involving University offices and stakeholders with responsibilities related to civil rights, Title VI, equal opportunity, nondiscrimination, accessibility, Title IX, and related areas.
- Compiles, organizes, and analyzes programmatic and operational information to support leadership decision-making, program development, and continuous improvement.
- Coordinates the development, documentation, and implementation of standardized processes, protocols, workflows, and referral pathways to promote consistency, clarity, and coordination across the University.
- Conducts reviews and documents the mapping of existing functions, responsibilities, processes, and stakeholder relationships to identify gaps, overlaps, dependencies, and opportunities for improved coordination.
- Develops and prepares reports, presentations, briefing materials, meeting materials, implementation documents, and other communications for senior leadership and University stakeholders.
- Coordinates meetings, committees, and stakeholder engagement activities, including developing agendas, maintaining meeting minutes, tracking follow-up responsibilities, and supporting timely completion of deliverables.
- Prepares and distributes documents, requested by the Office of University Labor Relations and the Office of General Counsel.
- Maintains dashboards and other tracking tools to monitor initiatives, milestones, and outcomes.
- Evaluates administrative processes and program operations and develops recommendations to improve efficiency, coordination, service delivery, and stakeholder experience.
- Performs other related duties and special projects as assigned.

Qualifications
Minimum Education and Experience - Bachelor's degree in public administration, business administration, public policy, legal studies, social sciences, human resources, or a related field; or an equivalent combination of education and/or experience.
- A minimum of two years of relevant professional experience in program coordination, project coordination, administration, compliance, legal support, higher education, human resources, civil rights, or a related area.
Certifications/LicensesRequired Knowledge, Skills, and Abilities - Outstanding oral and written communication, interpersonal, time management, and project management skills.
- Ability to think strategically.
- A demonstrated ability to manage confidential and sensitive information.
Preferred Qualifications - Experience working in higher education, government, a legal environment, compliance, human resources, or civil rights administration. Familiarity with civil rights, equal opportunity, nondiscrimination, Title IX, Title VI, accessibility, or related institutional compliance functions.
- Experience developing process maps, workflows, standard operating procedures, implementation plans, dashboards, or other operational tools.
