Full Job Description
Reports To: Vice President or Associate Director

Primary Function: Responsible for maintaining both the physical and fiscal aspects of a property or a portfolio of commercial properties (i.e. retail, office, industrial, office-medical, etc.) with an emphasis on maximizing the value of the property in accordance with each client's mission, goals, and objectives.

Education/ Experience: A bachelor's degree from accredited college or university is preferred. A minimum of five years related experience in commercial property management. Industry accreditations are a plus.

Qualifications:
  • Capable of leading special projects/assignments
  • Competency with industry computer skills and software: such as Microsoft Office, MRI,Yardi, Prism, Nexus, Versa-pay, etc.
  • Proficient in Accrual accounting
  • Ability to understand and execute expense reconciliations
  • Ability to understand and interpret commercial lease language
  • Skilled in variance reporting and incident reporting


Responsibilities:

The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position in accordance with company standards and property management agreements:

  • Maintains and preserves the physical asset:
    • Procures, coordinate, manages, and supervises employees and contractors necessary for the maintenance operations of the properties
    • Conducts formal site inspections on properties interior and exterior and report on same
    • Leads the client on physical repairs and/or replacement recommendations
    • Observes and reports all risk management issues
    • After hours availability required in accordance with coverage and PTO/ time off policies


  • Financial reporting and control in collaboration with Accounting Dept:
    • Monitors accounts receivable for assigned properties. Administers tenant default notices as applicable in collaboration with lease administration and the client
    • Monitors and processes accounts payable for assigned properties
    • Manages and monitors property's cash balance
    • Approves property invoices in accordance with Company procedures
    • Coordinates and reviews monthly financial reports prior to submittal to client
    • Collaborates with accounting and lease administration on annual operating expense reconciliations
    • Prepares and monitors annual property operating budgets
    • Proficient in capital planning in accordance with ownership's goals and objectives
    • Provides variance comments for deviations from the budget
    • Meets the expectations of Institutional Ownership assignments
    • Understands both cash and accrual based accounting methods


  • Administration:
    • Assists with the selection, training, and control, of supervised employees (as applicable) in compliance with company policies and procedures
    • Interfaces with outside professional services providers regarding legal, accounting, insurance, real estate taxes, and other matters, as appropriate
    • Ensures all property files and records are maintained
    • Manages time spent between both in office and on-site at the property
    • Establishes and maintains general market knowledge, tenant relations, and asset evaluation
    • Completes all duties in a professional and timely manner
    • All other tasks as defined
