Job Summary

The Senior Payroll Tax & Compliance Analyst is responsible for strengthening payroll tax compliance through quality control reviews, risk monitoring, audit readiness, process governance, and continuous improvement within a multi-state, multi-company payroll environment. This position focuses on compliance oversight, internal controls, process validation, risk mitigation, and audit support. This role partners with Payroll, Human Resources, Finance, Corporate Tax, government agencies, auditors, and third-party vendors to ensure payroll tax processes are compliant, well-controlled, accurate, and supported by complete documentation. The Senior Payroll Tax Compliance Analyst serves as a subject matter expert in payroll tax compliance by identifying risks, implementing corrective actions, strengthening controls, and supporting strategic initiatives, acquisitions, system implementations, quarter-end activities, year-end activities, and W-2 processing controls.

Hybrid 3 days in office. 100% in office during transition.

  • O2C (Order-to-Cash): Manages the customer journey from order to payment, driving smoother revenue processes.
  • R2R (Record-to-Report): Enables robust financial reporting and accounting.
  • P2P (Procure-to-Pay): Ensures timely vendor payments and strong supplier relationships. Manages the Travel and Expense program.
  • Center of Excellence: Drives innovation and continuous improvement.
  • Payroll (Hire-to-Retire): Ensures accurate, compliant employee payments.

Key Responsibilities

  • Perform payroll tax quality control reviews to ensure compliance with federal, state, and local payroll tax requirements.
  • Monitor payroll tax processes and identify compliance risks, control gaps, exceptions, and process improvement opportunities.
  • Review payroll tax reconciliations, account maintenance activities, unemployment accounts, and supporting documentation for accuracy and completeness.
  • Support the resolution of tax notices, agency inquiries, audits, and compliance-related issues by researching, documenting, and tracking corrective actions.
  • Develop, maintain, and enhance payroll tax procedures, controls, checklists, and audit-ready documentation.
  • Conduct root cause analysis and assist with implementing corrective actions to prevent recurring compliance issues.
  • Support payroll tax-related system implementations, acquisitions, integrations, testing activities, and process enhancements.
  • Partner with internal departments and third-party vendors to strengthen payroll tax compliance, reporting processes, and operational controls.
  • Provide guidance, training, and support to payroll tax team members on compliance standards, documentation requirements, and quality control procedures.
  • Support quarter-end and year-end payroll tax processes, including reconciliations, balancing activities, W-2 reporting, year-end compliance reviews, validation of payroll tax data, and maintenance of audit-ready supporting documentation.
  • Perform other related duties as assigned.


Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field preferred.
  • Minimum of five (5) years of experience in payroll tax, payroll operations, compliance, auditing, internal controls, or a related discipline.
  • Experience working in a multi-state, multi-company payroll environment preferred.
  • Experience with payroll, tax, and ERP systems such as SAP, ADP SmartCompliance, Workday, Oracle, UKG, or similar platforms.
  • Experience performing compliance reviews, risk assessments, process improvement initiatives, and quality control activities.
  • Certified Payroll Professional (CPP) certification preferred.


Knowledge and Skill Required

  • Strong knowledge of federal, state, and local payroll tax regulations, unemployment insurance requirements, and payroll compliance standards.
  • Advanced understanding of payroll tax reconciliations, quarter-end and year-end processes, W-2 reporting requirements, and tax account maintenance.
  • Ability to research, analyze, and resolve complex payroll tax and compliance issues.
  • Strong analytical, problem-solving, root cause analysis, and risk assessment skills.
  • Experience supporting tax notices, audits, agency inquiries, and compliance remediation activities.
  • Advanced Microsoft Excel skills, including data analysis, reconciliations, reporting, and audit support.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.


Work Environment

  • Hybrid role with flexible work options, requiring some in-person presence.
  • Normal office working conditions with a quiet noise level.
  • May require sitting for extended periods of time.
  • Up to 10% travel may be required.
  • Occasional overtime may be required to support business needs, particularly during quarter-end and year-end activities, W-2 processing, audits, acquisitions, system implementations, and special projects.
