Full Job Description
This role is based on-site in our Nashville, TN office

What You'll Actually Do:

Own our licensing program. You will become an expert in corporate and brokerage licensing. You will track licensing deadlines, then prepare and submit license applications, transfers, and renewals for the Company and its brokers, nationwide. You will research and stay informed of each state's unique licensing requirements and work directly with brokers and state regulators to get things done quickly and correctly. We hate surprises when it comes to licensing. The Company is also hiring a Licensing Administrator who will assist with the day-to-day licensing responsibilities under your guidance and mentorship.

Master and Manage our contracts library. You will become the steward for our extensive and growing library of contract templates. Under the guidance and direction of our in-house attorneys, you will draft, proofread, update, and modernize our contracts templates, including preparing our library of contracts for implementation into a state-of-the-art contract lifecycle management (CLM) platform. Successful implementation of the CLM platform will be a primary objective of this role for the first six to nine months.

Be a real paralegal, not just a form-filler. You will be an essential component of the Company's Compliance Team. You will regularly conduct thorough legal and regulatory research across all 51 U.S. jurisdictions. You will provide in-depth and hands-on support to our team of in-house attorneys across corporate, transactional, litigation, and compliance matters. You will be expected to not only follow the attorneys' directions but to propose your own ideas, insights, and improvements to our processes and compliance regime. You will help organize, modernize, and maintain our library of policies, procedures, and handbooks. You will also help with internal and regulatory audits, subpoena responses, and litigation. Also, you will handle confidential, privileged, and sensitive matters, so discretion and the ability to maintain confidentiality are essential.

Be a leader. You will direct the Company's licensing processes and day-to-day responsibilities of the Licensing Administrator, and take charge of the Legal Department's many contracts, policies, and compliance objectives. Build with Technology. Matthews is a tech-forward company, and the Legal Department is no exception. You will use AI, particularly Claude, automation tools, and modern legal tech to automate your workflows and maximize your efficiency. You will be a citizen developer, not just a spectator from the sidelines.

Be a team player. You will work directly with the Company's CEO, President, other executives, attorneys, brokers, and agents, as well as Compliance, Operations, and HR personnel, all day, every day. Good energy, enthusiasm, and exceptional interpersonal skills are a must. You will work closely with the Company's team of Contracts Administrators, brokers, and agents as they deploy the Company's extensive library of contracts into live brokerage.

Qualifications:

Required :
  • 7+ years as a paralegal in a licensing, transactional, or compliance role in a well-respected law firm or in-house in a highly regulated industry (real estate brokerage would be a big plus).
  • Exceptional organization, deadline management, and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with AI (particularly Claude), CLM platforms, Salesforce or analogous CRM platforms, LexisNexis or Westlaw, and Microsoft Office.

Preferred :
  • Strong hiring preference may be given to well-qualified candidates with extensive experience not only using but also implementing CLM software
  • Bachelor's degree or equivalent paralegal certification/training.
  • Experience mentoring direct reports.
  • Real estate or brokerage licensing background.
  • Multi-state regulatory, licensing, and compliance know-how.

Salary Range: $95,000-$115,000
