Full Job Description
The Senior Medical Affairs Specialist supports the operational, administrative, and strategic functions of the Medical Affairs department at Schroeder Ambulatory Centre (SAC). Working closely with the Director of Medical Affairs, Chief Medical Officer, Medical Affairs Specialist, physician leaders, clinical teams, and corporate departments, the Senior Medical Affairs Specialist plays a key role in physician recruitment, credentialing, onboarding, medical staff administration, physician engagement, and program implementation.

This position serves as a senior resource within Medical Affairs and supports the coordination of physician-related activities across multiple clinical programs. The role requires strong organizational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Key Duties & Responsibilities

Physician Recruitment, Onboarding and Relations

  • Lead physician recruitment and onboarding activities across assigned clinical programs, from initial engagement through clinical readiness.
  • Serve as a senior Medical Affairs contact for physicians, providing guidance on credentialing, agreements, onboarding, policies, and organizational requirements.
  • Partner with physician leaders and internal stakeholders to resolve onboarding or operational barriers and escalate complex matters with recommendations.
  • Lead physician communications, engagement initiatives, orientations, and program-related activities.


Credentialing and Medical Staff Administration

  • Lead and manage physician credentialing, appointments, reappointments, privilege changes, and related Medical Staff processes.
  • Conduct quality review of credentialing and privileging files to ensure readiness for Medical Staff leadership, MAC, and Board approval.
  • Interpret and apply Medical Staff policies/procedures, organizational requirements, and regulatory standards, identifying risks or exceptions for escalation.
  • Identify and implement improvements to strengthen credentialing processes, efficiency, compliance, and physician experience.


Medical Staff Governance

  • Lead the preparation and coordination of Medical Advisory Committee and Medical Staff governance activities.
  • Manage physician appointment, privileging, policy, medical directive, and other submissions requiring physician leadership, MAC, or Board approval.
  • Track governance decisions, approvals, and action items and ensure appropriate follow-up with accountable stakeholders.
  • Serve as a resource to physician leaders and internal teams regarding governance processes and approval pathways.


Program Implementation and Physician Readiness

  • Lead the Medical Affairs workstream for assigned new programs, expansions, and strategic physician initiatives.
  • Oversee physician readiness activities, including recruitment, credentialing, contracting, onboarding, training, scheduling, and communication.
  • Partner with clinical and operational leaders to identify physician resource requirements, readiness gaps, risks, and implementation priorities.
  • Develop and standardize physician workflows, onboarding processes, readiness tools, and Medical Affairs procedures.


Physician Education and Events

  • Lead physician orientations, Medical Staff events, educational sessions, leadership meetings, and program-specific training.
  • Coordinate physician presenters, clinical leaders, and external partners to ensure content, materials, and implementation requirements are aligned.
  • Develop and maintain physician orientation resources, guides, presentations, and educational materials.


Systems, Reporting and Compliance

  • Oversee the accuracy and integrity of physician information across credentialing systems, databases, trackers, and Medical Affairs records.
  • Develop and analyze reports, dashboards, and readiness tools to identify trends, risks, gaps, and opportunities for improvement.
  • Lead Medical Affairs preparation for regulatory inspections, accreditation reviews, audits, and other compliance activities.
  • Translate regulatory and organizational requirements into Medical Affairs processes, documentation, and physician communications.


Leadership and Departmental Support

  • Act as a senior resource and escalation point within Medical Affairs, providing guidance on complex or non-routine matters.
  • Lead special projects and strategic physician initiatives on behalf of the Director of Medical Affairs and Chief Medical Officer.
  • Provide training, mentorship, and functional guidance to Medical Affairs team members and support consistent departmental practices.
  • Represent Medical Affairs on cross-functional working groups, implementation teams, and organizational initiatives.
  • Support the Director of Medical Affairs in advancing departmental priorities, process standardization, risk management, and continuous improvement.


Corporate Responsibilities:

  • Participate in all mandatory training requirements and work in compliance with the Occupational Health and Safety Act and Regulations, Schroeder Ambulatory Centre Policies and Procedures, as well as established industry guidelines

Qualifications

  • Post-secondary education in healthcare administration, business administration, health sciences, human resources, or a related discipline.
  • Minimum of 3-5 years of experience in Medical Affairs, physician administration, healthcare administration, credentialing, clinical operations, or a related healthcare environment.
  • Experience working directly with physicians and senior healthcare leaders is strongly preferred.
  • Knowledge of physician credentialing, privileging, reappointment, and Medical Staff governance processes is an asset
  • Experience supporting Medical Advisory Committees, physician committees, accreditation, or regulatory processes is an asset.
  • Strong proficiency with Microsoft Office applications and the ability to learn healthcare information systems, credentialing platforms, and electronic medical record systems
