About the RoleWe are looking for a Senior Manager, Marketing Operations to lead the systems, data, and automation behind how families and referring providers find us and move through our application process. This role connects our marketing, sales, payor, and clinical operations teams so each can see the same picture and act on it quickly. It has one direct report and is fully remote.
Day to day, you will manage our CRM and the marketing tools around it, and serve as the bridge between what our commercial teams need and what product, data science, and engineering build. AI is central to how this work scales: we want someone who will use it to build audiences, spot campaign opportunities, and get useful information in front of the people who can act on it.
The first priority will be strengthening the CRM foundation that everything else depends on. We are looking for a strong strategic thinker who can set direction across our marketing systems and still work hands-on inside them.
Responsibilities:- Govern our CRM and the marketing tools connected to it: data model, automation, permissions, and data quality, and keep it reliably connected to our website, analytics tools, and clinical systems.
- Set strategy and priorities and drive execution with the partner teams that rely on the CRM and other marketing tools, including Marketing, Territory Management (sales), Product, Admissions Team, Clinical Operations, Data Science, Analytics and others.
- Manage and develop our CRM Administrator, moving that role from handling incoming requests toward a set of strategic priorities.
- Define how we follow a family or provider from first contact through application, evaluation, and enrollment, and work with data science and analytics on lead scoring, routing, and attribution.
- Represent commercial and marketing needs in product and engineering planning, so systems work is scoped against the road map and partners know what matters most and why.
- Build and maintain the audiences our marketing and sales teams rely on, and use AI to surface campaign opportunities such as underserved territories, newly expanded plan coverage, or points where applications stall.
- Design how marketing-generated provider interest reaches our territory managers (the sales team selling into pediatricians, schools, and other referring partners) with clear targeting, priorities, and automation of the steps that move by hand today.
- Provide the payor team with the reporting they need to negotiate and expand, including utilization, geographic coverage, and referral volume by plan.
What You Need to Succeed in the Role- 5+ years in CRM systems management OR marketing/revenue operations, including hands-on work rebuilding or significantly restructuring a CRM rather than only administering one.
- Hands-on Zoho CRM experience is preferred; we will also consider candidates with equally deep HubSpot or Salesforce experience who are ready to go deep on Zoho.
- Proven experience directly managing people, including hiring, developing, and holding a direct report or team accountable to clear priorities.
- A track record of supporting a sales team with measurable gains in their efficiency and output.
- Real experience using AI and automation to build things that work, rather than only experimenting with tools.
- Strong strategic thinking, with the ability to move between marketing strategy, how systems are built, and how data flows between them.
- Comfort with funnel and conversion analytics, and familiarity with how websites capture leads and track behavior (forms, GA4, Segment, or similar).
- Strong collaboration skills, high attention to detail, and a problem-solving mindset in a fast-paced environment.
- Experience in healthcare, behavioral health, or other HIPAA-regulated environments is a plus but not required.
SalaryThe expected annual base salary for this role is between $134,000-$149,000. Actual starting salary will be determined on an individualized basis and will be based on several factors including but not limited to specific skill set, work experience, etc.
