Job Summary

This position reports into the Associate Director, HCP Program Operations, and will work directly with our brand teams, Legal and E&C, to manage Promotional Programs. The role leads cross functional initiatives to enable various promotional program tactics; engages with Ethics and Compliance, Legal, IT and other matrix teams to define business rules, processes and performance metrics to enable effective and compliant execution of programs. This position provides expertise to our marketing teams on their PME initiatives and helps determine systems, processes, functionalities and cross functional timelines to enable these initiatives. This position manages the logistics vendor for successful execution of all bureau activities including speaker nominations, contracting, system configurations, budget allocations, program confirmations, close outs, and Sunshine Reporting. Responsible for the tracking and reporting on bureau and vendor performance reviewed quarterly with key stakeholders.

This position also oversees the process and submitter trainings; bring expertise to evaluate and streamline the submission process and training for ease of use and complete/accurate submissions as well as leveraging best practices across bureau management (contracting, payments).

Focus on customer service, performance against established metrics and continuous improvement are foundational to this role.

Job Description

o Demonstrates strong stakeholder management by proactively building relationships, aligning cross-functional partners on priorities, and ensuring clear, consistent follow-up communications to drive accountability and timely execution.

o Works directly with marketing teams to provide operational support for Promotional Speaker Program initiatives.

o Provide leadership and direction to Contract and Logistics Vendor

o Provides direction for open questions, situations or issues

o Manages weekly core team meetings

o Monitors and tracks vendor effectiveness and performance

o Holds quarterly business review meetings with vendor

o Provide guidance on system enhancements to meet Business and field needs in changing environment

o Liaison with E&C and Legal to review Promotional Program execution as well as new tactics to help define and ensure process and system configurations support and are in alignment with OAPI policies and SOPs.

o Lead cross functional initiatives to establish logistics tool/system and processes to meet any new requirements for new business rules, new event types or new metrics

o Lead Speaker Nomination and Contracting process for Bureau Launch - working cross functionally with Legal, E&C, Brand, Medical and Field.

o Review and maintain updated Field Training and Business Rule Documentation.

o Work with Aggregate Spend Core team and Speaker Bureau Vendors to provide all necessary data for Speaker Programs to the Aggregate Spend reporting system (Porzio)

o Manage Speaker Bureau Data Remediation Process

o Identify areas of opportunity to enhance processes to meet business requirements most efficiently and compliantly

o Develop team and skill sets to be ready to meet further business needs

Qualifications

Required

o BA/BS degree

o Minimum of 7 years within the pharmaceutical industry.

o Experience managing vendors and IT projects

o Strong knowledge / experienced working with Promotional Speaker Programs

o Demonstrated proficiency with business analysis, written and verbal communications, presentation and interpersonal skills is required.

o Initiative, problem-solving skills, and a focus on continuous improvement

o The candidate should have hands-on experience with sales force automation systems (or equivalent), Microsoft Access (or equivalent), PowerPoint, Excel and Word.

o Pharma Compliance Experience or strong knowledge of Pharma Code as it pertains to field promotional activities

Preferred

o Experience within Pharmaceutical Sales Force Compliance role

o Sales or Sales Operations experience

o Experience in other Sales, Marketing or Sales Operations areas (e.g. Sales Training, Marketing, etc.)

o Experience supporting or working with multiple business units or therapeutic areas

Minimum $134,615.00 - Maximum $201,250.00, plus incentive opportunity: The range shown represents a typical pay range or starting pay for individuals who are hired in the role to perform in the United States. Other elements may be used to determine actual pay such as the candidate's job experience, specific skills, and comparison to internal incumbents currently in role. Typically, actual pay will be positioned within the established range, rather than at its minimum or maximum. This information is provided to applicants in accordance with states and local laws.
