Job Summary

Responsible for planning, organizing, and directing the development and implementation of those policies, procedures and programs necessary to maximize the value of a corporate client's investment in an office and industrial properties or portfolio, and controlling the activities of the client's facility or portfolio so as to optimize the utilization of all resources under his/her control. Participate in formulation and execution of client's corporate real estate objectives, policies and plans as they pertain to the facility or portfolio operations and compliance with the client's Master Service Agreement.

Responsibilities

  • Direct and oversee maintenance programs relating to the interior and exterior condition and appearance consistent with owner objectives. Communicate with staff to obtain input and recommendations that ensure operational and quality standards are maintained.
  • Supervise staff to ensure effective implementation of services in accordance with contractual, performance and quality expectations of the Company and the client. Prepare and conduct the performance reviews and make salary recommendations for all direct reports. As appropriate, review and approve staff performance reports.
  • Review the portfolio's performance on a continuing basis and establish proper measures of performance in accordance with established metrics and in compliance with the terms of the Management Agreement. Provide monthly operating report detailing current assessment of facility management performance - portfolio performance, budget variances and continuing operating initiatives.
  • Assist the client in the preparation of long-term strategy programs by continually seeking creative methods to increase portfolio operating efficiencies, decrease operating costs, drive cost savings and cost avoidance opportunities and provide an enhanced real estate environment for corporate client.
  • Formulate and implement fiscal operating and capital budgets for each facility within client's real estate portfolio. Work with Newmark Client Accounting to monitor proper accounting procedures and approve portfolio operating expense activity.
  • Oversee the selection of contract services, vendor negotiation of service agreements and monitor vendor performance, including mail service, reprographics, copier and print services to assure full compliance with standards established within the service agreement.
  • Facilitate and partner with respective business units to achieve short and long-term space planning strategies; to include space management, planning and moves.
  • On-site point of contact for Property Risk Inspections.
  • Develop and enforce Environment, Health and Safety and Emergency Preparedness Plan.
  • When necessary, work with leasing agent to ensure operations and capital plans support leasing program.
  • Oversee the review, design, bidding and construction of all repairs and capital improvements.
  • Collaborate with site teams and client on Green Initiatives.
  • Perform site inspections of assigned properties and coordinate action plans with on-site teams to resolve non-compliance items.


Qualifications

  • Bachelor's degree in business administration or a real estate related field
  • CPM and/or RPA designation
  • Minimum 7-10 years previous experience in property and/or facility management
  • Excellent human relations, written and verbal communication skills
  • Good negotiating and communication skills, ability to perceive problems and react quickly to effect solutions
  • Strong planning and organizational skills
  • Strong supervisory skills
  • Must have a valid driver's license
  • May perform other duties as assigned
