Job Description

The Senior Executive Assistant (EA) to the CEO and Executive Leadership Team (ELT) is a trusted partner to three senior executives - the Chief Executive Officer, Chief Financial Officer, and Chief Communications & Brand Officer - and enables their effectiveness by protecting their time, anticipating business needs, and ensuring disciplined follow-through across the organization. The role also manages day-to-day operations in the Allentown, PA, executive office.

This is a strategic partnership role, not traditional administrative support. The Senior EA manages executive operating rhythms, coordinates confidential and sensitive activities, and helps leaders stay focused on the company's highest-priority work. Success requires sound judgment, discretion, business acumen, and the ability to operate independently amid competing demands and ambiguity in a fast-paced global environment.

Role Details
  • Work arrangement: Hybrid - onsite approximately 3 days/week in Allentown, PA, with flexibility based on executive travel and business needs.
  • Reports to: Chief Communications & Brand Officer.

Position Responsibilities
  • Serve as a trusted extension of the CEO, CFO, and Chief Communications & Brand Officer - exercising judgment on priorities, access, delegation, and matters requiring immediate attention, while flexing to support other ELT priorities as needed.
  • Manage complex, frequently changing calendars to align executive time with strategic priorities, customer and investor commitments, and critical internal decisions.
  • Coordinate domestic and international travel, itineraries, meeting materials, and expense reporting, anticipating and resolving logistical issues proactively.
  • Prepare and edit executive correspondence, presentations, briefing materials, and confidential reports with a high degree of accuracy.
  • Own meeting preparation and follow-through - agendas, pre-reads, attendee alignment, and tracking of decisions and action items to completion.
  • Support recurring executive operating rhythms, including ELT meetings, leadership reviews, strategic planning sessions, town halls, and quarterly business reviews.
  • Build and maintain relationships with other Executive Assistants, functional leaders, Board-related contacts, customers, investors, and external partners to coordinate complex, cross-functional activities.
  • Coordinate highly confidential matters, including organizational changes, executive talent and compensation, legal and financial information, and Board and investor relations.
  • Lead special projects and executive-sponsored initiatives end to end - organizing information, setting timelines, and driving deliverables to closure.
  • Identify and recommend process improvements that increase executive effectiveness, communication, and operational efficiency.
  • Provide support outside standard business hours as needed for executive travel, global time zones, or urgent matters.
  • Manage routine operations of the Allentown executive office - mail, supplies, vendor coordination and meeting-space readiness - ensuring the office runs smoothly for onsite executives and guests.


Executive-Specific Support
  • CEO: Board and investor coordination, enterprise communications, leadership meetings, strategic planning, and high-priority external commitments.
  • CFO: Finance operating rhythms, budget and planning cycles, audit and investor meetings, and confidential financial materials.
  • Chief Communications & Brand Officer: Internal and external communications, executive messaging, media and speaking engagements, and major company announcements.


Basic Qualifications
  • Bachelor's degree or equivalent combination of education and directly relevant experience.
  • 8+ years of progressively responsible executive support experience, including substantial experience supporting C-suite executives in a complex organization.
  • Demonstrated experience supporting multiple senior executives simultaneously, including managing confidential and business-critical matters.
  • Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat.
  • Experience managing high-volume calendars and inboxes, and working with expense/travel platforms such as Concur.


Preferred Qualifications
  • Experience supporting a CEO, CFO, CMO, Chief Communications Officer, or comparable enterprise executive.
  • Experience in a global, publicly traded, private-equity-backed, highly regulated, or life sciences environment.
  • Experience coordinating Board, investor, customer, media, or enterprise leadership activities.
  • Proficiency with Workday, Board portals, project-management tools, and AI-enabled productivity tools such as Microsoft Copilot.
  • Experience developing executive-level presentations and written communications.


The annual compensation range for this full-time position is $110,000 to 130,000. The final base pay offered to the successful candidate will be determined by factors including internal equity, work location, as well as individual qualifications, such as job-related skills, experience, and relevant education or training.
