Role Overview:This is a senior, high-impact role that goes beyond traditional administrative support. The Executive Assistant operates at the center of the organization, managing complexity, driving coordination, and enabling executives to focus on the highest-value strategic work.
The ideal candidate brings executive presence, sound judgment, and operational discipline, with the ability to anticipate needs, remove friction, and execute at a consistently high standard in a fast-paced, highly confidential environment.
This role is well-suited for:
- Experienced, top-tier Executive Assistants, or
- High-performing early-career talent (including recent graduates) seeking meaningful exposure to executive leadership and enterprise operations
Note: This role may be filled at the Executive Assistant or Senior Executive Assistant level based on experience, demonstrated capability, and organizational need.Key Responsibilities:Executive Support & Prioritization- Serves as the first point of contact for assigned executives
- Manages complex executive calendars, schedules, and priorities across multiple leaders
- Ensures executives are fully prepared for all commitments, proactively resolving conflicts and competing priorities
- Screens and prioritizes communications, including calls, emails, and correspondence
Executive Coordination & Communication- Partners with other Executive Assistant(s) to provide coordinated, team-based support to senior leadership, ensuring continuity, coverage, and a seamless executive experience
- Serves as a central coordination point across internal and external stakeholders, including senior leaders, board members, and partners
- Prepares and drafts executive communications, correspondence, agendas, and follow-up materials
- Tracks action items, decisions, and deadlines to ensure timely execution and accountability
Board & Governance Support- Prepares for Board of Directors and Committee meetings, including agendas, materials, and logistics
- Coordinates with Legal on Board resolutions and materials
- Attends meetings as needed to capture minutes, track actions, and ensure follow-through
- Provides administrative support to Board members on company-related matters
Meetings, Materials & Execution- Prepares agendas, reports, presentations support, and executive-ready materials
- Ensures all meeting materials are accurate, complete, and delivered on time with strong attention to detail
- Coordinates logistics and technology needs for executive and Board meetings
Travel, Expenses & Events- Manages complex executive and Board travel logistics, including itineraries and contingency planning
- Oversees expense reporting, travel tracking, and related administrative requirements
- Supports corporate events, leadership offsites, and key external engagements
Projects & Process Improvement- Leads or supports short- and long-term projects, including research, data compilation, and reporting
- Develops and improves processes for scheduling, meeting preparation, and executive workflows
- Identifies opportunities to improve efficiency, reduce friction, and elevate execution standard

Qualifications:- Associate's or Bachelor's degree in business or related field preferred; recent graduates with strong academic performance, demonstrated initiative, and interest in working with senior leadership are encouraged to apply; equivalent combination of education and relevant experience will also be considered
- For Executive Assistant level, 0-5 years of experience supporting senior executives or high-performing early-career candidate or recent graduate.
- For Senior Executive Assistant level, 5-10+ years supporting senior executives, or demonstrated high performance in a rigorous business environment
- Strong interpersonal and communication skills with the ability to engage at the executive and Board level
- Proven ability to anticipate needs and work independently with minimal direction
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, SharePoint);
- Strong technical aptitude with a willingness to leverage AI and productivity tools to drive efficiency, improve workflows, and enhance executive effectiveness.
Compensation (differentiated by level):
- Base Salary: $70,000 - $120,000
- Target Bonus: 5-10%
