The Senior Document Automation Specialist drives efficiency across the firm's legal operations by designing and implementing automated document generation solutions and integrating Generative AI tools into everyday workflows. Bridging legal technology and practice innovation, the Senior Document Automation Specialist leverages AI-assisted drafting, intelligent document review, and research automation to assist attorneys and business professionals to produce higher-quality work products with greater speed and consistency.

Essential Responsibilities:

  • Build and implement complex automated templates and template packages for key legal document types, including contracts, pleadings, and client correspondence.

  • Collaborate with attorneys, paralegals, and stakeholders to gather requirements and deliver automated solutions tailored to the practice group’s operational needs.

  • Conduct routine audits of automated templates to ensure accuracy, consistency, and compliance with firm and legal standards.

  • Assess current document workflows, identify gaps, and drive process improvements that enhance efficiency and maintain compliance.

  • Maintain document templates and ensure they are current by updating to reflect changes in formatting, branding, or firm policy.

  • Train and support attorneys and business professionals on document automation tools and best practices to promote firm-wide quality standards.

  • Stay current on legal technology and Generative AI developments, translating relevant trends and risk into actionable insights for the team.

  • Maintain strict confidentiality of firm-related information.

Required Knowledge, Skills, and Abilities:

  • Comprehensive knowledge of document automation platforms paired with an active interest in emerging AI capabilities and a disciplined, responsible approach to their deployment in a legal setting.

  • Strong understanding of legal documentation; familiarity with document management systems and version control.

  • Knowledge of formatting styles and guidelines, such as APA, MLA, or Chicago Manual of Style.

  • Strong attention to detail and excellent proofreading and editing skills.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Strong communication skills, both written and verbal, with the ability to effectively convey information and instructions.

  • Ability to work collaboratively and effectively with cross-functional teams and individuals at all levels of the organization.

  • Comfortable navigating word processing software and systems, with a knack for finding practical solutions to typical issues and challenges.

  • High level of confidentiality and professionalism when dealing with sensitive and confidential documents.

  • Strong commitment to client service, ethical conduct, and firm values.

  • Demonstrated ability to self-manage and work independently in a remote, hybrid, and in-office settings.

Required Education:

  • Bachelor’s degree in Information Technology, Computer Science, Business Administration, Legal Studies, or a related field; any combination of training, experience, and education that demonstrates the ability to perform the essential functions of the position may be considered.

Required Qualifications:

  • Minimum five (5) years of experience in document automation within a law firm or corporate legal environment.

  • Proven ability to apply AI, automation, and related technologies to simplify and streamline workflows and deliver lasting solutions to longstanding operational challenges.

Preferred Qualifications:

  • Demonstrated proficiency with coding in document automation tools, including platforms such as HotDocs, Contract Express, or Avvoka.

  • Exposure to scripting or coding languages (e.g., JavaScript, XML) beneficial.
