Senior Business Operations Specialist to support the
Science & Technology Institutional Assessments Office in a dynamic, fast-paced environment. In this role, you will independently plan, coordinate, execute, and improve a variety of business, operational, and organizational activities that support the office's priorities and high-visibility deliverables. Working closely with the
S&T Institutional Assessments Director and internal stakeholders, you will serve as a trusted partner in both the execution and continuous improvement of key office processes and activities. The successful candidate will bring strong business coordination and analytical skills, sound operational judgment, and the ability to balance day-to-day coordination with data analysis, process improvement, and project support.
This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one or more days per week.
You will- Administer the planning, coordination, execution, and improvement of activities related to the Director's Institutional Awards, internal and external awards, and other assessments-related events, processes, and initiatives.
- Evaluate current office processes, identify operational inefficiencies, recommend practical improvements, and help implement enhanced solutions to improve efficiency and consistency.
- Collect, validate, interpret, track, and analyze business, operational, and programmatic data. Prepare reports, summaries, presentations, correspondence, and other materials that support management review and decision-making.
- Use business tools and technologies, including Excel, Teams, SharePoint, and AI-enabled solutions, to manage office processes, reporting, document handling, collaboration, and process improvement.
- Coordinate multiple workflows, schedules, deliverables, and administrative activities associated with high-visibility programs.
- Lead or coordinate small- to medium-scale projects and operational improvement efforts, including tracking actions, coordinating stakeholders, and supporting implementation of new or revised practices.
- Partner with stakeholders across organizations to clarify needs, support requirements, and ensure effective coordination of office activities and deliverables.
- Draft, edit, and finalize sensitive correspondence, reports, presentations, web content, and other documents requiring a high degree of accuracy, discretion, and sound judgment. Manage sensitive information while ensuring confidentiality.
- Manage the lifecycle of high-level Consultant, Visiting Scientific Professional (VSP), and other types of non-employee agreements.
- Perform other duties as assigned.
Qualifications- Active DOE Q-level clearance, or active Top-Secret clearance from another U.S. government agency at time of hire
- Associate degree in a related field, or equivalent combination of education and relevant experience
- Demonstrated experience in business operations, program coordination, administrative operations, or process improvement in a complex environment
- Sufficient understanding of event coordination best practices and standards to effectively collaborate with the Protocol Office
- Strong analytical and problem-solving skills, including experience assessing operational processes, interpreting data, identifying issues, and recommending improvements
- Experience coordinating and supporting multi-step business or operational processes with attention to detail and deadlines
- Advanced proficiency in Microsoft Office, especially Excel, and experience with collaboration tools
- Demonstrated experience using technology and AI tools to improve efficiency, streamline or enhance office processes, or support analysis
- Excellent organizational, written, and verbal communication skills
- Demonstrated judgment, discretion, and ability to handle sensitive or confidential information
- Experience collaborating with management and stakeholders across functions to support operations and improve processes
- Experience administratively managing the lifecycle for consultant or similar agreements
- Experience editing web content from a user interface

Pay Range$113,400 - $138,888 Annually
This is the lowest to highest salary range in good faith we would pay for this role at the time of this posting. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
