Summary Description:

The benefits administrator is responsible for the executing the day-to-day operations of group benefit and retirement programs. This position includes cross-functional management of projects including data analysis and supporting and maintaining benefits and payroll reporting tasks. This position will work closely with internal teams to ensure appropriate legal (FMLA, ADA, EEOC, FLSA, ACA etc.) and Company policy compliance. Additionally, this position serves as the SME in benefits, retirement and have a fundamental knowledge of payroll concepts, practices and procedures with strong analytical and mathematical aptitude.

Essential Job Functions:

  • Analyzes and understands the life cycle of employee's data along with system functionality, providing continuous opportunities aligned with Refresco strategies.
  • Partner with external vendors, HRIS systems administration (UKGPro/Wex), and support day-to-day and annual enrollment activities within the systems.
  • Actively participates in the set up and testing of benefits administration system, annual enrollment processes, and employee self-service features.
  • Coordinates annual compliance testing and required audits with external auditors.
  • Audits, reviews and processes weekly funding notifications for all applicable plans.
  • Administer and process Short-Term Disability (STD) pay requests, ensuring payments are calculated accurately, approved in accordance with company policies, and coordinated timely with Payroll. Audit disability payments and associated benefit deductions to ensure accuracy, identify discrepancies, and resolve issues before payroll processing.
  • Partner with WEX and other benefits vendors to administer direct bill processes for employees who are not receiving payroll deductions due to leave of absence, disability, or other circumstances. Conduct regular audits of direct bill records and payments, reconcile discrepancies, monitor outstanding balances, and ensure accurate participant billing.
  • Manage communications related to benefit premium collections for employees who are not eligible for disability pay or are otherwise not receiving wages. Provide timely notifications regarding direct bill obligations, payment status, coverage impacts, and reinstatement requirements while ensuring compliance with company policies and plan provisions.
  • Monitor and audit employee benefit eligibility and coverage continuation during leaves of absence, ensuring appropriate coordination between payroll deductions, direct billing, disability payments, and vendor records to maintain accurate coverage and minimize compliance risks.
  • Administers the vendor interfaces and resolves any discrepancies. Works with vendors to escalate enrollment, file transmission and system issues, as appropriate.
  • Ability to analyze large data sets, assess trends or patterns and make recommendations based on data (quantitative) and situational factors (qualitative).
  • Participates in reviewing, researching, and correcting error reports generated from benefit vendors.
  • Collaborates with payroll, and reviews weekly reports ensuring that employer contributions and employee deductions are processed accurately.
  • Participates with accounting audits as it relates to benefits or payroll errors. Ensure required deadlines are met in order to achieve on-time payments and avoid penalties/interest by vendors.
  • Responsible for administering the data audit necessary to complete government compliance activities (5500s, audits, etc.).
  • Assists with the administration of the 401(k) Retirement plan.
  • Assist with crafting content and communications for employees that are approachable, succinct, and reflect company culture.
  • Partners with benefits director to offer recommendations on current benefit trends, programs/changes and regulatory/legislated requirements.
  • Creates ongoing reporting, in addition to ad-hoc requests.
  • Manages ongoing and annual ACA filing requirements with external benefits administrator plus resolves discrepancies in data elements.
  • Commitment to process improvement and cross functional collaboration with HR business partners to build efficient and scalable processes.

  • Ability to prioritize and multitask daily processes/projects to meet deadlines in a fast-paced environment.
  • Intermediate-level Microsoft Office Suite required.


Education and Experience:

  • Bachelor's degree in business administration or related field (or equivalent work experience) and 10 years of relevant benefits/retirement administration experience.
  • Eight years of experience with analytical and administration of benefit programs required.
  • Experience with UKGPro or ADP vendors/systems preferred. Previous experience with WEX preferred.
