Reporting to the Director of Compliance, the Senior Analyst Yale Medicine Policy and Procedure will act with minimal supervision to document, monitor, improve and expand the Yale School of Medicine and Yale Medicine policy and procedure framework. The Senior Analyst serves as a policy point of contact for all of Yale School of Medicine (YSM) and Yale Medicine and oversees the process of updating policies and procedures and ensures final documents are stored in the designated policy database. The Senior Analysts achieves this through laterally leading department assigned document control liaisons. The Senior Analyst will monitor the policy and procedure review/revision schedule and communicate to department leadership when items are out of the required review timeframe.
Policy Administration duties to include: Develops and manages document control process for Yale School of Medicine and Yale Medicine policy, procedure, and other controlled documents. Works with department designated document control liaisons and leadership to manage the policy development and maintenance process, and to ensure policies and procedures are published in document database. Works to ensure policies are not duplicated, redundant or contradicting. Acts as a central information source by maintaining and distributing policies, procedures, guidelines, and forms.

Required Skills and Abilities
1. Intermediate to advanced computer skills - Word / Excel / PowerPoint/ Publisher.
2. Exceptional written, oral, interpersonal, and presentation skills. Ability to adapt communication style to address the needs of individuals at all levels throughout the organization. Demonstrated experience working effectively with key stakeholders at multiple levels of complex organizations is essential.
3. Strong organizational skills and standards for professional excellence, accountability, and integrity.
4. Demonstrated ability to lead collaborative work and produce high-quality written documents.
Preferred Skills and Abilities
1. Proven experience in document administration and development or management of SOPS preferred.
2. Proven experience with database management and design preferred.
3. Proven experience in client service industries a plus.
4. Demonstrated experience writing policies, procedures and/or training guides
Principal Responsibilities
Program Management: 1. Develop and enhance tools and processes used in policy initiation, development, review, dissemination, and maintenance. 2. Coordinate the policy development process throughout the University to achieve consistency and avoid duplication or conflicts among policies. 3. Establish an ongoing process for continuous improvement of policy practices. 4. Educate the campus community on policy process and interpret policy process as needed. 5. Coordinate with program staff and other stakeholders. Policy Development and Review: 1. Collaborate with policy owners and other stakeholders in assessing policy needs. 2. Advise policy owners during drafting, revising, and editing of policies, procedures, and forms to conform with University policy standards. 3. Benchmark with peer institutions and research policy implications and options. 4. Author comprehensive memoranda for senior leadership detailing policy decision points, obligations, ramifications, and suggested course(s) of action. 5. Serve as a resource and/or project manager for various committees or workgroups 6. Manage the process for reviewing University administrative policies on a five-year recurring cycle, to ensure that the policies remain accurate, current, effective, and aligned with the Universitys broader objectives and obligations. 7. Arrange, plan, and lead meetings where policy proposals, policies, and other related documents are reviewed for clarity and consistency. 8. Implement the policy framework on behalf of the University senior leaders while maintaining policy quality standards to ensure University administrative policies align with Board of Trustees policy, meet Universitys administrative policy needs, have appropriate administration and oversight, and are effectively communicated to community. 9. Direct policy development and review process from inception to final approval and continuous review. 10. Plan and prepare monthly agenda and package of materials for policy review 11. Collaborate with the policy owners to incorporate changes specified by the Operations Working Group, as well as the Policy Review Committee, prior to moving the policies to the next step of the review process. 12. Conduct policy orientation sessions and other educational presentations, as requested, to contribute to continuous training and development. Communication, Advocacy and Compliance: 1. Design and implement quality assurance programs pertaining to policy and compliance functions. 2. Serve as a key partner in oversight of the Universitys internal controls to address risks or weaknesses that may be present. Support the development of recommendations, which may include training/education requirements, to address risks or internal control gaps, as necessary. 3. Establish, implement, and maintain strong internal controls to provide reasonable assurance of effective and appropriate resource use, accurate financial information, and adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements. Recommend implementing policy and procedure changes, as appropriate. 4. Develop and disseminate timely and relevant information regarding new and amended policies to the community (announcements for policy surveys, approval of policy, etc.). 5. Maintain the policy web pages and online policy repository. 6. Serve as an advocate for University policy needs by participating in appropriate University committees or workgroups, consulting directly with various stakeholders, and working with the University Officers, and senior management identify opportunities to improve the Universitys policy practices. 7. Partner with policy owners to identify and implement various communication strategies for their customers. 8. Present and participate in policy discussions at professional conferences. 9. Advocate and serve as diplomat for policy program 10. May perform other duties as assigned. Required Education and Experience Bachelors degree in a related field and six years of related experience or an equivalent combination of education and experience.
