Overview

The Energy and Environment Directorate delivers science and technology solutions for the nation's biggest energy and environmental challenges. Our more than 1,700 staff support the Department of Energy (DOE), delivering on key DOE mission areas including: modernizing our nation's power grid to maintain a reliable, affordable, secure, and resilient electricity delivery infrastructure; research, development, validation, and effective utilization of renewable energy and efficiency technologies that improve the affordability, reliability, resiliency, and security of the American energy system; and resolving complex issues in nuclear science, energy, and environmental management.

The Energy Processes and Materials Division, part of the Energy and Environment Directorate, creates and delivers real world solutions that support the Department of Energy's goals for national energy security. We deliver new technologies that connect fundamental science to applications in areas such as energy storage, advanced materials manufacturing, applied catalysis, advanced separations, biomass conversions, carbon capture and utilization, and hydrogen production and storage. We employ a systems perspective that includes discovery, technology development, and scale-up as well as economic, regulatory, and market acceptance issues necessary for successful technology commercialization.

Responsibilities

Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.

The Battery Materials and Systems Group within the Energy Processes and Materials Division is seeking a highly motivated individual to support the team as part of our administrative staff. This role provides administrative support to scientific and engineering staff, as well as to non-staff and visitors. The position receives direction from the group leader and the division administrator. The ideal candidate shows strong customer service, teamwork, dependability, and integrity, supporting PNNL's commitment to scientific excellence and national impact. This is a high travel group.

Responsibilities
  • Provide general administrative and office support.
  • Manage calendars and scheduling for managers and staff.
  • Manage email with speed and accuracy.
  • Maintain office supplies for group, inventory and order when necessary.
  • Support travel requests, booking, and expense reporting. This is a travel-heavy group.
  • Coordinate interviews, hiring processes, and onboarding of new hires.
  • Welcome, receive, and direct visitors.
  • Prepare documents using word processing tools, create spreadsheets and presentations.
  • Maintain and organize electronic files.
  • Develop required documentation as needed and respond to questions from internal and external stakeholders.
  • Provide responsive support for purchasing and ordering needs, including purchase requests, placing orders, and reconciling orders in line with PNNL policies.
  • Serve as a member of the administrative team within the Energy Processes and Materials Division.

Qualifications

Minimum Qualifications:
  • High school diploma/GED and 8 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 6 years of relevant experience in an administrative environment.
  • Experience in planning meetings and coordinating travel

  • Basic understanding of department and company policies, procedures, and practices.
  • Ability to explain standard policies and procedures to different audiences.
  • Strong written and verbal communication skills.
