About the Job Real Estate Investment Firm | Onsite

We're partnering with a highly regarded real estate investment firm to hire a Senior Administrative Assistant to support a Director. This is a visible, trusted role for someone who is polished, hardworking, and reliably on top of the details - someone who brings structure and follow-through to a fast-moving environment. This role also serves as office manager of the LA/Santa Monica location, which is under ten people.

The Opportunity You'll be the person who keeps things moving day to day - managing the calendar, coordinating logistics, and making sure nothing falls through the cracks. You'll sit close to the work, with exposure to deals, investors, and the inner workings of a real estate investment platform. This is a great fit for someone earlier in their admin career who is looking to build real experience supporting senior leadership in a finance/investment setting.

What You'll Do

  • Manage a busy, changing calendar with accuracy and good judgment
  • Coordinate across internal teams, investors, and external partners
  • Prepare clean, organized materials - presentations, reports, and meeting prep
  • Draft and manage day-to-day communication with clarity and discretion
  • Own recurring administrative tasks (expense reports, travel booking, filing) from start to finish without needing reminders
  • Oversee light office operations to keep the environment running smoothly
  • Support ad hoc projects tied to acquisitions, development, and firm initiatives

What We're Looking For

  • 3-5 years of administrative experience; backgrounds in finance or investment environments preferred (real estate investment, development, commercial real estate, or venture capital), but strong candidates from other polished, fast-paced environments are welcome
  • Demonstrated reliability with recurring tasks - someone who tracks their own follow-ups and closes the loop without being chased
  • Calendar and travel coordination experience
  • Highly organized, detail-oriented, and quietly on top of everything
  • Polished communicator - professional, clear, and easy to work with
